BASIC PURPOSE:
The Administrative Assistant is responsible for the day-to-day clerical functions to support the sales department for independent living and health care. Time and attention allocations are expected to be 50% for independent living and 50% for health care.
EEESNTIAL DUTIES
1. Support the sales and admission process for all levels of care.
· Receive and maintain the organization and inventory of marketing collateral materials
· Create marketing packets
· Updating Sherpa CRM with prospect and depositor activities
· Works with clinical liaison to coordinate new admissions
· Schedule and complete contract signings for new admissions
· Support admissions and nursing team with all aspects of admissions process including paperwork, bed coordination, room readiness, and other tasks as assigned
2. Support the move-in process for independent living
· Work with the sales team to ensure application is received after deposit
· Upon receipt of deposit complete the following:
· Create conversion transaction statement
· Create moving map
· Add depositor to several platforms in use at The Davis Community
· Complete walkthrough of unit and add punch list to relevant platform
· Install cable boxes
· Create move-in folder and key sets
· Manage move-in gift baskets
· Upload documents into MatrixCare
· Prepare docusigns
3. Assist with the coordination of marketing events.
4. Reside at front desk in the administrative office suite to act as the initial point of contact for visitors.
5. Open, close and act as clerk for Salty’s Market.

5. Proficient in Microsoft Suite and ability to learn and use other platforms; must be technology-literate and able to operate office equipment

8. Excellent verbal and written communication skills
9. Follows all emergency procedures
10. Understands all safety practices and procedures
Working Conditions
1. Walking and ability to drive a golf cart

MINIMUM QUALIFICATIONS:
Education: High School Diploma
Licensure/Certification: None
Experience: Two years in an administrative or clerical role
