Job Summary: We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our executive team. The ideal candidate must have previous experience as an Executive Assitant, be proactive, professional, and able to handle confidential information with discretion.
Requirements:
The Destination Designer role relies heavily on the use of iCalendar. Therefore, candidates must have access to either a MacBook or an Apple ID to perform daily operations and fulfill job responsibilities.
NOTE: This role will start Early/Mid January 2025, and is a hybrid position with remote work available.
Responsibilities & Role:
- Manage scheduling for Alexis and custom travel clients.
- Proficiency in Google Calendar and iCalendar
- Draft, review and send communications on behalf of Alexis and The Destination Designer.
- Organize and prepare for meetings, including gathering documents, research and logistics of meetings with travel partners and clientele.
- Answer and respond to phone calls, communicate messages and information to Alexis and custom travel clients.
- Reconfirm and organize Alexis’ and clients’ travel arrangements, including dining reservations, tours and experiences, private guides, and private chauffeur services.
- Be available via email and phone communication while clients are on vacation for concierge support.
- Available 24/7 and daily for on-call problem-solving during clients’ travels (mostly European time zones). Including, but not limited to, flight and transportation travel,
- travel partner communication, dining reservation amendments, rental cars, room amenity and upgrade requests, and other travel disruptions.
- Research and organize travel and partner leads in a central spreadsheet.
- Support brand management and strategy, including content topics, and template generated graphics, email marketing and Pinterest post scheduling.
