The Position
The Grant Accountant reports to the Controller. This is a hybrid position, working out of HOPE’s Downtown Brooklyn / South Bronx location a minimum of three days per week. The position will help ensure the smooth operation and continued improvement of HOPE’s federal, state and local government grants, as well as assist with accounting and recordkeeping tasks. The primary responsibility of the Grant Accountant is to manage the budgets and the accounting of a number of government-funded contracts, and assist the Controller with month-end close activity.
Responsibilities
Financial
- Ensure timely delivery of expense and performance reimbursement reports
- Review AR weekly and follow up periodically on outstanding payments
- Record government contracts revenues and apply cash receipts accordingly
- Monitor contract spending monthly to maximize reimbursement and ensure GL accuracy
- Review payroll allocations and shared OTPS expense allocations monthly
- Assist with preparation of contract budgets (pre/post award) and budget modifications, as well as with annual agency budget
- Maintain government grant financial information including cash receipts, advances, AR
- Assist with review of monthly financial statements by analyzing and reconciling them with reimbursement claims, ensuring the integrity of information within the General Ledger system
- Monitor budget to actual trends and meet monthly with program directors to discuss contract progress (expense variances, and spend down projections, performance deliverables, etc.)
- Monitor upcoming deadlines and deliverables such as annual, quarterly, and monthly reports as required by funders
- Organize and maintain electronic and paper files of grant documents and resources
- Contribute enhancements and increased efficiencies to the grants’ management processes
- Assist with special projects as requested
Accounting
- Process purchase orders (PO) in NetSuite with required allocations and approvals
- Enter vendor bills with appropriate department/program/grant allocations, match them to existing purchase orders
- Enter grant revenues to general ledger and apply payments to the open receivables
- Upload bank activities in accounting system and perform bank reconciliations
- Record and reconcile credit card expenses
- Make reclassification entries as necessary
- Record depreciation and prepaid expense transactions
- Create ad hoc reports as requested by internal and external stakeholders
- Update cash-flow projections and cash status on a weekly basis
- Maintain bank deposit and discrepancy spreadsheet
- Maintain prepaid and capital expenditure schedules
Minimum Qualifications
- 2 years of relevant experience in accounting and/or government grant management
- Experience with federal, state, and local government grants is preferred
- Bachelor’s degree in Accounting, Finance, or a related field
- Proficiency in accounting software (preferably NetSuite) and Microsoft Excel
- Attention to detail and strong organizational skills to maintain grant records
- Ability to communicate effectively with program directors, funders, and auditors
Salary and Benefits
The annual salary range for this position is $60,000 to $70,000 and is dependent upon experience. HOPE provides a full package of benefits including: healthcare and dental insurance; retirement plan; competitive vacation (plus half-day Fridays during the summer which is equal to 7.5 additional vacation days); and 12 paid holidays.
