Jay Group is hiring a Senior Administrative Coordinator. Supporting the Client Services team, the Senior Administrative Coordinator is a key point of contact for handling client and departmental status inquiries pertaining to special projects, inbound receipt, order fulfillment, and returns processing.
Schedule: Monday - Friday12:00pm 8:30pm.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Performs general clerical administration. Assists in report generation, inventory control, work order processing etc.
- Assists in project execution by implementation of activities associated with project set-up, implementation, site-specific client projects and quality control as assigned by Account Manager(s) and Client Services management.
- Assists Account Manager(s) in responding to client service issues including assisting in determining source/causes, and identification of alternatives for resolution. Performs research and job analysis associated with projects as required.
- Supports smaller accounts as assigned key point of contact and directly supports meeting client requirements through effective decision making and support from other team members.
- Participates in Client Satisfaction Team (CST) meetings as required.
- Serves as back-up for other Administrative Coordinator(s) and Account Manager(s) within limits of authority, as needed.
- Performs order and transaction entry daily and as needed. Manages held orders, back orders, drop ship orders, and order status changes. Will also escalate order issues/challenges internally for resolution and communication to client as needed.
- Submits daily, weekly, and monthly reports/projects (work orders) to facilities as required for assigned accounts directly in system or via the entry of scheduled activities and makes sure these are billed timely and accurately. May be required to change dates and other report values, as needed.
- Performs the following as needed internally or as required for accounts: file transfers and e-mail, maintain out-queues and message logs. Research problems and discrepancies as required by reviewing order details, cycle count results, receiving paperwork and other documents. Develops and maintains procedures for assigned accounts.

Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- High School Diploma or GED required.
- Two (2) years’ experience with a warehouse management system or Business Intelligence tool preferred.
- Ability to read and comprehend simple instructions, short correspondence, and memos.
- Ability to write effective and engaging correspondence both internally and externally.
- Intermediate level Excel skills preferred.
- Ability to apply conduct instructions in written, oral, or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations and make suggestions and escalate potential challenges to account managers, or Client Services management.
- Must be able to manage multiple tasks simultaneously, collaborate well with peers, and maintain composure during difficult or stressful situations.
- Have knowledge of Database software inventory software, Microsoft Excel, order processing systems, spreadsheet software and word processing software.
- While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand; walk; use hands to finger, handle, or feel and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. The noise level in the work environment is usually quiet.
