Job Summary
They are looking for a responsible Front Desk Assistant to perform a variety of administrative and clerical tasks. The ideal candidate will assist in daily office needs, and perform all functions related to incoming/outgoing calls. Sorts, routes, and distributes mail according to established policies and procedures. Support to our team members, files client papers in accordance with policies and procedures, and managing our company’s general administrative activities.
Essential Functions
Greets visitors and ensures proper clearance and routing in accordance with firm policies; Maintains neatness of lobby, reception area and conference rooms.
Responsible for maintaining the phone system; Directs calls to appropriate attorneys and staff; Receives and records oral information from phone callers in-person, and then communicates it to attorneys and staff.
Able to onboard new clients and complete intakes for prospective clients; Create initial consult packets for upcoming consults and meetings.
Maintains office supplies and coordinates maintenance of office equipment.
Responds to and resolves administrative inquiries and questions; Performs other related duties as assigned.
Runs errands as needed, including but not limited to hand delivering documents to court or other attorney offices, picking documents up from court, acquiring office supplies, etc.
Provides administrative support to Legal Assistants and Attorneys, including working with correspondence, court pleadings, documents, and other special projects as assigned; Help manage attorneys calendars; Create Zoom links for client and staff meetings.
File client documents in the firm’s CPI in a timely manner, LeapFile downloads and distributes them to the appropriate attorneys.
Required Skills & Abilities
Strong verbal and written communication skills.
Excellent interpersonal and customer service skills.
Outstanding organizational skills and attention to detail.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
Capability to work independently.
Ability to maintain confidentiality, and to exercise discretion and good judgment.
Proficient with Microsoft Office 365 Suite or related software, such as Adobe Acrobat Pro, Zoom, and Clio.
Education & Experience
Associate degree required, Bachelor’s degree in related field preferred.
Three (3) to five (5) years of experience in an administrative role.
