What are the responsibilities and job description for the Executive Assistant position at The Nicholas J. Pernokas Recreation Park (The Nick)?
About us
The Nick is a non-profit organization that constructs and manages recreational facilities in service to the Lakes Region of NH. Our mission is to provide recreational opportunities for both children and adults that enhance quality of life as well as incorporate and support community values.
The Nick seeks a highly organized and responsible Executive Assistant to support the Executive Director and oversee our administrative operations and marketing efforts. The Executive Assistant will keep our office running smoothly by handling clerical duties, communicating with constituents, organizing records, assisting with grants, and maintaining our databases. The Executive Assistant will also manage our marketing avenues, including mailings, social media, and newsletters. This position is suited for someone who is detail-oriented, possesses strong communication skills, and is good at multitasking. The ideal candidate will have experience running an office and have a track record of excellent administrative support.
This role is primarily administrative with the marketing duties secondary. This is an in-person position located in a spacious and sunny office that overlooks The Nick. You will be working at your own desk in an open office environment, primarily in the presence of a few other employees. As you will often be working on your duties alone and unassisted, you must be self-directed and have excellent time management skills.
Qualifications:
Excellent Written & Verbal Communication Skills: Clarity and professionalism in your communication is essential, as you will be working directly under the Executive Director on projects, collaborating with other team members, and communicating with CEOs, executives, vendors, and customers daily. The Executive Assistant must communicate effectively with each interaction to avoid miscommunication.
Excellent Time Management Skills and the Ability to Prioritize Tasks: You will have many varied responsibilities (such as submitting financial records, troubleshooting tech, tracking donations, answering the phone, assisting with grants and donations, basic bookkeeping, maintaining contracts, and coordinating events). Balancing these tasks and understanding how to prioritize their completion is vital.
Attention to Detail and Strong Organizational Skills: Organization is very important, as you will have many files, accounts, records, and financial statements to track to keep the office running smoothly. Attention to detail is also crucial to prevent costly errors in bookkeeping, unprofessional typos in our communications, and to maintain the confidential elements of our organization. We would value someone who notices errors and inconsistencies and is not afraid to suggest improvements and corrections.
Flexibility and the Ability to Task-Switch, Problem-Solve, & Self-Teach: We seek someone who can quickly adapt to changing job duties and is willing to learn new skills when necessary. We are a small team and must be able to pivot when the situation requires. While there are ongoing repetitive duties (such as invoicing, running reports, attending to mail/email, scheduling facility use, and overseeing our sign program), you will not be doing the same tasks every day. Sometimes a special event or deadline means “all hands on deck” to ensure the job gets done.
Coachability and Ability to Accept Feedback: We do not expect perfection, but do value continual growth. The ideal Executive Assistant is someone who can learn both hard skills and soft skills and is open to being coached. We want the ability to help the Executive Assistant grow, not only in knowledge, but as a person.
Strong Integrity and Sense of Responsibility: As a small team, it is essential that we can count on each other to be honest, work hard, and to communicate openly and promptly when an issue arises. We value our staff and volunteers and hope that we can continue to foster a work environment of mutual respect.
