What are the responsibilities and job description for the Administrative Assistant position at The Salvation Army Central Territory?
The Administrative Assistant for The Salvation Army of Oshkosh serves as the first contact for visitors and callers. Performs general office and bookkeeping duties and provides support for all departments.
About the role:
- Greet guests and direct them to the appropriate area. Ensure that volunteers sign in and out and direct them where appropriate
- Process all incoming calls and transfer to the appropriate staff member, answer basic questions and provide information regarding services offered
- General housekeeping of reception and office areas. Restock brochures as needed.
- Ensure the building is open in a timely manner
- Provide written receipts for all donations, and distribute donated items to applicable area
- Arrange for maintenance on office equipment when needed
- Keep inventory of office supplies for all departments and order when necessary
- Work closely with Regional Accounting to process cash and checks received, code invoices, request petty cash, contact vendors on invoices, update Corps inventory, maintain grant gas cards, and other bookkeeping duties as needed.
- Enter gifts in kind for all departments
- Maintain files and create new files for social services
- Distribute agenda and maintain meeting minutes for all department
- Update forms and required documents as needed or requested for all departments
- Update online stat information for Feeding America
- Coordinate Festival food grant and emergency food distribution
- Assist with seasonal programs as needed and requested
Education: High School Diploma or equivalent
Experience: Two year's experience in a support role preferred
Certifications: Must have a Valid Wisconsin Driver's License with approval to drive from TSA's insurance carrier.
