Key Responsibilities
Events and Drives Support:
- Assist Events and Drives Manager with execution of logistics for all SVDP events and drives.
- Organize and manage event and community engagement materials, signage, displays, and promotional items.
- Assist with delivery, pick up and coordination of supplies, partners, trucks, and drive locations.
- Partner with manager to respond to inquiries and coordinate outreach to participants, attendees, sponsors, and volunteers through phone calls and email.
- Ensure event-day success by assisting with set up, tear down, registration, greeting guests, event flow, and resolving issues as they arise quickly and with enthusiasm.
- Collaborate with the Volunteer Coordinator to ensure sufficient volunteer support and that volunteers have the proper training and tools.
- Prepare, maintain and update documents such as checklists, schedules, and contact lists.
- Coordinate and oversee databases, records, and spreadsheets for participants, attendees, volunteers, and sponsors.
- Assist with marketing and promotion in collaboration with the Communications team.
- Support post-event wrap-up, including thank-you notes, follow-up communication, and debrief.
- Document and track partnership activities, including sponsorships, volunteer involvement, service learning, and in-kind and monetary donations.
- Work closely with the Events and Drives Manager to maintain organized and detailed records of partnership information, relationships, and engagement.
- Support objectives of the strategic plan regarding the compilation of tracking across External Relations, Outreach Services, Volunteerism, and Service Learning departments.
- Assist with scheduling and coordinating of engagement activities, ensuring all related logistics are planned, recorded, and communicated to relevant staff.
- Prepare and organize partnership documentation, including sponsorship materials, volunteer schedules, donation records, and partnership summaries for internal reference.
- Develop partnership reports that highlight relationship status, key contributions, volunteer involvement, and opportunities for future growth.
- Collaborate across departments to align event and partnership needs with organizational resources and goals.
- Other duties and support for additional projects and tasks as needed.
- Experience: High school diploma or equivalent required; associate degree or coursework in event planning, communications, nonprofit management, or a related field preferred. Experience in an administrative, event support, or nonprofit role is a plus.
- Skills:
- Strong organizational and time management abilities, with excellent attention to detail.
- Excellent communication skills, both verbal and written, with a customer service focus.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and comfortable learning new software.

- Availability: Flexibility to work occasional evenings and weekends to support event needs.
- Physical Requirements: Job duties can primarily be performed from a desk using standard office equipment. Occasional requirement to lift items of 20 pounds for special events and drives.
- Positional: Driving in accordance with job duties as defined by position.
