Position: Admissions Specialist
Reports To: Director of Admissions
Position Overview:
We are seeking an empathetic and motivated individual to join our team as an Admissions Specialist. This role requires someone who understands the complexities of addiction and recovery, excels in customer service, and can balance multiple tasks in a fast-paced environment. You’ll be a key part of our clients’ journey to recovery by ensuring a smooth and welcoming admission process.
Core Skills & Qualifications:
- In-depth understanding of addiction and the recovery process, particularly the 12-step model (preferred).
- Exceptional customer service skills, with a focus on compassion, patience, and professionalism.
- Sales-oriented mindset to engage with potential clients and help them feel confident in our services.
- Basic proficiency in math and computer skills, including working with admission software and databases.
- Strong communication and listening skills, ensuring clarity and trust during every interaction.
- Ability to work under pressure, managing multiple tasks while maintaining a sense of urgency.
- Valid Texas Driver’s License required.
- Fluency in English required; bilingual (Spanish) is a plus.
- Availability for on-call shifts 24/7, as scheduled.
- Drug testing: Must pass initial and ongoing random drug tests.
Key Responsibilities:
- Client Engagement: Answer inquiry calls, conduct screenings, schedule tours, and follow up with potential clients. Create a welcoming and informative experience during every interaction.
- Admissions Process: Verify client insurance benefits, provide cost estimates, and ensure all phases of the screening and admissions process are completed in a timely and efficient manner.
- Compliance & Documentation: Ensure all paperwork meets DSHS and CARF standards, organize and maintain UR charts, and support the UR Coordinator in electronic uploads.
- Administrative Support: Update census data, track client treatment progress, and assist with discharge surveys. Maintain daily reports and communicate effectively within the admissions team.
- Alumni Relations: Conduct regular check-ins with program alumni to maintain relationships and update contact directories.
- Referral Coordination: Maintain open communication with referral agencies and forward leads to the Director of Business Development.
- On-Call Shifts: Provide after-hours support on a rotating basis with other staff members.
