Position Information

Hiring Department: Records and Registration

Posting End Date: Open until filled. This posting may close once a sufficient number of qualified applications have been received.

Hours:40 hours per week, standard Monday- Friday 8:00am- 5:00pm. F lexibility is occasionally required on evenings and weekends.

FLSA status: Non-exempt.

Earliest Start Date: 01/27/2025

Salary: $30,731.00 Annually.

This position is security-sensitive and subject to Texas Education Code

  • 51.215, which authorizes the employer to obtain criminal history record information. A valid driver’s license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.

Purpose of Position

Essential Functions

Performs Student Support Specialist I duties such as verifies all data entered into the permanent records files and insures accuracy; prepares new record files, retrieves data from files, and updates existing files and records; insures that all requests for file information are in compliance with the established policies and procedures; processes transcript requests; provides information respective to the compatibility of courses; makes faculty requested corrections to students' records; receives and processes data from official documents regarding student enrollment.

Responsible for designated function(s) within the Records Office.

Provides high quality customer service to faculty, staff, and students.

Responsible for receiving, processing, maintaining, and accessing student record files.

Mediates for the Assistant Registrars on student concerns that cannot be resolved by the Student Support Specialist I; initiates searches into an inquiry involving a student issue and provides findings to the Assistant Registrar.

Collects, reviews, logs-in, and follows-up on administrative type student withdrawals and grade change requests prior to submitting information for processing to designated staff.

Assists in the preparation of each semester’s registration and graduation activities.

Assists Assistant Registrars with complex and detailed projects, and the maintenance of the Registration and Records Procedural Manual.

Provides general office procedural and data entry training to new employees.

Maintains a high degree of confidentiality on all of the sensitive information to which this position is privy, which includes the security of all student records.

Serves as a liaison with other departments and acquires a basic knowledge of functions performed in the other departments.

Communicates rules, regulations, procedures and policies to faculty, staff, students and parents regarding student records.

Interacts with faculty, staff and students in resolving student records issues.

Acts as a backup for other Student Support Specialists I as required.

Knowledge of all Microsoft Office software and able to learn and use institutional software systems.

Complies with all State and University policies.

Other duties may be assigned.

Supervisory Responsibilities No supervisory responsibilities.

Required Qualifications

Education: Associates Degree or equivalent from two-year college or technical school.

and

Experience: Two (2) years of experience, related to the statement of duties and responsibilities; or equivalent combination of education and experience.
