What are the responsibilities and job description for the OFFICE MANAGER/SURG SCHEDULER - GASTRO, M-F - Full-Time position at Toledo Clinic?
The Toledo Clinic's Gastroenterology Department is seeking a full-time Office Manager/Surgery Scheduler. This position will work M-F and oversee the day to day operations of the department and supervise staff. The main office location is located on Woodley Rd in Toledo but travel to different locations is required as needed. At least two years of medical office experience is required.
General Summary:
Schedules office, hospital, and/or surgical procedures for the physician(s)/department. Oversees the day to day operation of the office and supervises the staff.
Principal Duties & Responsibilities:
Example of Essential Duties:
1) Schedules surgical procedures or lab work, x-rays, etc. at the clinic and/or hospitals.
2) Completes consent forms with the patient.
3) Completes surgery cards for billing purposes.
4) Delegate responsibilities to others and assure that staff members are performing their functions correctly.
5) Complete necessary payroll forms and authorize/deny overtime or PTO time requests.
6) Monitor and improve, when necessary, employee morale.
7) Effectively communicate with the Drs. and staff and keep them updated on issues of concern.
8) Attend medical office manager meetings.
9) Maintain personal relations with patients and address and resolve patient complaints or concerns.
10) Monitor the office’s operation and make adjustments in order to improve upon patient care, ergonomics, employee relations, etc.
11) Maintains adequate equipment and supplies and acquires proper approval for capital expenditures.
12) Develops goals (in conjunction with physicians) and follows through to completion.
13) Performs various clerical duties (phones, appointments, etc).
Other Essential Duties May Include (but are not limited to):
14) Gather charts for present surgery patients.
15) Compile and submit pre-certification information to appropriate personnel.
16) Types correspondences, memos, and letters.
17) Maintains the physician’s calendar up to date with surgeries and/or procedures and informs physician of any changes in the schedule.
18) Other duties as assigned.
Knowledge, Skills & Abilities Required:
Required:
- Previous surgery scheduling experience desired or minimum of 2 years medical receptionist experience along with a medical terminology course.
- Excellent organizational skills and patience required.
- Consistently arrives at work, in professional attire, on time and completes all tasks within established time frame.
- Seeks appropriate tasks when primary tasks are completed and assists co-workers as needed.
- Demonstrates adaptability to expanded roles.
- Ability to travel to different office locations.
Education:
- HS diploma or GED required.
- Medical related certification, Associates or Bachelors degree preferred.
- Medical terminology and medical insurance coursework helpful.
Preferred:
- Supervisory experience preferred.
