Job Responsibilities and Duties:
- Delivers a high level of engagement and customer service for the Tonini team, visitors, customers, and vendors through face-to-face interaction, phone, and email.
- Primary contact for administrative work including mail, ordering supplies, and other responsibilities as assigned.
- Provides administrative support to the Vice President to include calendar management, phone calls, appointments, expense reporting, and coordinating events in a fast-paced environment.
- Plans and attends operations and safety meetings taking detailed minutes and holding those accountable for reporting status on follow up actions.
- Facilitates order entry as an impact analyst. Full lifecycle administration of the order entry process from receiving, verification, engagement with the customer or vendors, and invoicing.
- Assists VP with bank accounts and daily deposits.
- Primary point of contact for vendors during any preventative maintenance cycles or urgent repair requests.
- Continuously improves and focuses on effective and efficient systems to manage supplies and materials.
- A strong liaison with vendors and suppliers to research and secure pricing, competitive bids and ensure business continuity at all times.
- Focuses and executes strategies and plans with the VP.
Knowledge and Skill Requirements:
- Two years of experience as an administrative assistant or office administrator.
- High school diploma or equivalent.
- Working knowledge of office equipment, including printers and fax machines.
- Proficiency in MS Office Suite is required.
- Human resources experience preferred.
- Strong communication skills both written and verbal.
- Excellent time management skills with a focus on details and the ability to solve problems.
- Strong organizational skills with the ability to multitask.
- Reliable, positive contributor to the team, with the desire to learn and grow with the company.
