What are the responsibilities and job description for the Tenant Experience Coordinator position at Transwestern?

The Tenant Experience Coordinator (TEC) is the face of The Dayton's Project tenant relations program. The overarching goal of the role is to further activate the project and connect The Dayton's Projects tenants with each other and the greater downtown Minneapolis community. The TEC will create and implement a tenant relations program that is unique to the Minneapolis market and customized to suit our specific tenant needs and culture. In addition to the aforementioned responsibilities the TEC will also be responsible for coming up with ways to activate the common areas of the building including but not limited to the ground level and skyway level, The Winter Lounge, The Summer Terrace and The Dayton's Athletic Association. The TEC will also support the property management team in its day-to-day administration and operations of the project, interfacing with tenants, engineering, janitorial, security and other operational teams. The ideal candidate for the TEC opportunity is organized, enthusiastic, culturally aware, experienced designing graphics/PR material, results oriented, customer service oriented, comfortable working in a team, creative, resourceful, a self-starter and doer. ESSENTIAL JOB FUNCTIONS: Coordinate and present event ideas/calendars to management staff; create budget for tenant events and other programming in amenities areas; management’s goal is to have weekly events on a wide spectrum of budgets and number of attendees. Leverage your knowledge and passion for event planning and community building to create memorable experiences for The Dayton's Projects tenants. Be the ‘go to’ person for all things related to tenant education, wellness, relaxation, fun and recreation. Work collaboratively with the property management team to ensure customer service excellence and delivery of brand promise. Work to achieve “beyond exceed” satisfaction ratings. Responsible for the execution of events within established budget. Maintain calendar of tenant birthdays, anniversaries, life events and execute gift programs. Maintain relationships with the community and various organizations to seize opportunities for appropriate programming; procure vendors, equipment, and giveaways for events/programs such as live entertainment, fitness instructors, etc. Assist with seasonal programming and décor as required. Maintain and timely distribute accurate information via social media and project publications. Order supplies for amenities areas as approved by property management. Maintain Conference Center schedule, document feedback, monitor cleaning, AV equipment, furniture, etc. Communicate room set-ups to building engineers/porters and ensure that setup is completed per the client’s instructions; monitor meetings for no-shows and cancelations and communicate accordingly. Coordinate and execute pre-reservation walk-throughs with users and vendors. Man the amenity area front desk when reserved to greet guests as they arrive. Assist vendors before and during reserved events, including arrival logistics, parking options, deliveries, setup/take down, and access to prep/storage area. Create marketing for tenant events and other programming for various media platforms (electronic directory, social media, email, print, other signage). Attend relevant community meetings to stay current with market happenings. Curate, create, and send weekly tenant newsletter. Maintain social media accounts for the building with the goal of three relevant posts per week. Additional duties or projects as assigned by Property Management. Coordinate and execute the tenant move-in, move-out program. Interface with tenants and vendors in daily operations of the project. Assist in preparing presentation materials for property management and leasing team in advance of tenant/client presentations. Maintain lease and property files. Track tenant and vendor certificates of insurance and service contracts. Maintain follow-up system for expiration. Compose correspondence and memos for review and distribution. Assist with preparation of meetings. Order and maintain adequate stock of office supplies for property management office. Oversee administration and monitoring of the work order system. Coordinate daily access requests from tenants and vendors. Communicate to appropriate parties. Respond in a timely manner to all emails and delegate when needed. Maintain ongoing tenant contact/relations program to constantly assess needs and help assure the problems are resolved to the satisfaction of the tenants and client. Respond positively and promptly to all tenant requests, coordinating the appropriate action plan with management, engineering, janitorial, security, building staff. Additional duties or projects as assigned by the property management. POSITION REQUIREMENTS Preferably a bachelor’s degree in Marketing, Graphic Design, Hospitality Management, Event Management, social media and/or event coordination focuses. Entry level to three years’ experience in hospitality, event coordination, marketing or related field is desirable. Excellent customer service and communication skills. Flexible and adaptable to shifting priorities. Strong organizational skills and the ability to multi-task. Tech savvy. Ability to learn new tech programs quickly. Proficient in Microsoft Office Suite, Google Drive, Gmail, iOS technology, Canva, Yardi and social media. Self-motivated. Able to think quickly and efficiently when confronted with a tenant or client request and anticipate the needs of others. WORK SHIFT LOCATION Minneapolis, MN We Are Transwestern!
