Job Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team in the Real Estate Domain in and around The Villages Community FL.. The ideal candidate will possess exceptional communication skills, attention to detail, and the ability to manage multiple tasks efficiently. This role is pivotal in ensuring the smooth operation of our office and supporting our executives in their daily activities. Supporting our Executives in recruitment of Real Estate Agents to join our Agency and/or do their Real Estate Closings with our Title Agency.
Duties
- Manage and maintain executive calendars, scheduling appointments and meetings while prioritizing conflicting demands.
- Prepare and organize files, documents, and reports for meetings, ensuring all necessary materials are readily available.
- Proofread documents for accuracy and clarity before distribution, maintaining a high standard of professionalism.
- Provide executive administrative support by handling correspondence, preparing presentations, and managing travel arrangements.
- Supporting our Executives in recruitment of Real Estate Agents to join our Agency and/or do their Real Estate Closings with our Title Agency.
- Perform clerical duties such as filing, data entry, and maintaining office supplies inventory.
- Utilize Microsoft Office or Google Suite for document creation, collaboration, and communication with team members.
- Assist with QuickBooks for basic financial tracking and reporting as needed.
- Demonstrate excellent phone etiquette when answering calls and directing inquiries appropriately.
- Oversee front desk operations, greeting visitors and ensuring a welcoming environment.
- Support office management tasks to enhance overall efficiency within the workplace.
Experience
Candidates should have prior experience in an executive administrative support role or similar position. Proficiency in Social Media and MS Office or Google Suite is required, while familiarity with QuickBooks is preferred but not mandatory. Strong organizational skills, attention to detail, and the ability to maintain confidentiality are essential for success in this role. Previous experience in Real Estate and office management or clerical duties will be considered an asset.
