Position Summary
Reporting to the Recreation Manager, the Program Billing and Client Support Coordinator is responsible for assisting the Chief Operating Officer (COO) and Recreation Division with preparation of program billing data, collecting invoices and receipts, fiscal reconciliation, preparation of billing reports, program/client scheduling, general customer support, and other administration duties. A primary responsibility for this position will be the administration of UCP’s Pay/FMS (financial management services) program, which provides reimbursement and third-party payments to individuals and families participating in qualified recreation or socialization activities. The ideal candidate will possess excellent account billing and reconciliation experience, communication skills, contract experience, strong ability to work with data and reports, excellent teamwork and interpersonal skills, and a passion for expanding UCP’s mission to help more individuals and their families.
Essential Functions
UCP Pay/FMS Program Management (Primary Function)
· Manage essential activities for UCP’s new UCP Pay/FMS program under the direction of the COO and Recreation Manager.
· Assist new clients become registered and properly set up in our UCP Pay/FMS program.
· Collect and record client authorizations for expenditures.
· Verify key authorization and payment data with families and vendors.
· Authorize funds available, track expenditures, release funds, collect receipts and generate billable reports.
· Collaborate with the UCP CFO, Accounts Billable, and Accounts Receivable specialists.
· Bill appropriately under UCP contracts.
· Provide customer support for program participants, service coordinators, and UCP support staff.
· Develop systems with written standard operating procedures and documentation.
Other Duties
· Provide technical assistance for key staff including the COO, eLearning and Technology Specialist, and the Recreation Manager.
· Collect and analyze key program billing data and service metrics.
· Provide reconciliation of program billing data with UCP finance teams.
· Provide scheduling, registration, and payment support for individuals attending UCP recreation events.
· Assist with reviewing and updating service agreements and contracts.
· Answer, screen, and forward incoming calls to the appropriate department or individual.
· Perform general administrative tasks including data entry, filing, and document preparation.
· Respond to inquiries from both internal staff and external customers with professionalism and courtesy and provide technical assistance if necessary.
· Periodically attend on-site events and activities in support of the Recreation program department.
Required Education and Experience
· Education: High school diploma or GED required. Associate’s degree in accounting, business administration, or related field is preferred.
· Experience: 3 years of accounting, billing or related fields. Experience with Regional Center services preferred.

· Billing/Accounting Skills: Strong analytical skills including exceptional abilities working with spreadsheets and data tables, ledgers, invoicing, data reconciliation, and accounts receivable.

· Organizational Skills: Ability to multitask, prioritize, and maintain attention to detail.
· Tech-Savvy: Proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable learning new software tools.
· Interpersonal Skills: Approachable and professional demeanor.
· Confidentiality: Strong understanding of maintaining confidentiality in handling financial information.
· Team Player: Ability to work collaboratively with program and finance teams; and outside stakeholders to ensure the UCP’s objectives are achieved, and individuals feel valued.
