The Village is accepting applications for a Payroll Coordinator, who organizes receipt of all payroll information and reviews, audits, and verifies data to process payroll accurately. A successful candidate will support the Finance Department by assisting employees with all payroll-related questions and becoming a subject matter expert in administering the payroll software system, while analytically focusing attention to detail and accuracy.
Major Duties and Functions:
- Responsible for processing bi-weekly and special payrolls; audits salary, deduction, and accrual changes. Reviews payroll reports and edits and makes corrections, as needed.
- Maintains accurate payroll records.
- Prepares payroll checks and generates the direct deposit file for transmission to the bank in a timely fashion.
- Subject matter expert (SME) in administering the payroll software system. Researches, recommends, and implements solutions to system issues.
- Prepares, reviews, and verifies the accuracy of all required local, state, and federal reports and filings, including W-2s, quarterly filings, and monthly filings for IMRF and unemployment.
Tracks and implements all leave accruals and limits, along with other benefit types. Audits all payroll postings to the general ledger.
- Processes all payroll taxes and related payroll payments in accounts payable.
- Prepares and reviews all reports and payments for third-party payroll payments.
- Prepares other various reports, regarding pensions, benefit leave, salary analysis, ACA, and Workman’s Compensation.
- Partners with the Human Resources department to accurately process payroll changes.
- Prepares claims ordinances.
- Responds to FOIA requests.
- Other reconciliations, analyses, and tasks, as assigned.
Knowledge, Skills, and Abilities Required:
- Proficient in Excel. Possess analytical skills necessary to perform numerical calculations and to verify information from complex data.
- Technical accounting procedures and practices, particularly related to payroll, including union contracts, employee benefit plans, deferred compensation plans, wage withholdings and garnishments, and year-end processes.
- Record keeping, report preparation, filing methods, and records management techniques.
- Ability to pay close attention to detail, while prioritizing multiple tasks in a fast-paced and changing environment, without a loss in productivity or quality.
- Ability to establish and maintain effective working relationships, work independently, set priorities, meet deadlines, handle confidential information, and demonstrate effective communication, both oral and written, at all times
Minimum Qualifications:
Education and Experience: High school diploma or equivalent. One to three years of payroll accounting experience, or any combination of education and experience that produces the required knowledge, skills, and abilities. Previous experience processing municipal payroll is highly preferred.
Salary and Benefits: The full salary range for this position is $62,390 - $85,786, with a maximum starting salary of $74,868, depending on qualifications.
