Overview

The Order Management & Drop Ship Coordination Specialist will have the opportunity to have a key role in the growth of our exciting eCommerce company. The position will allow the candidate to drive key aspects of the order management process from customer order through order placement with the vendors and manufacturers and delivery to the customer. The job requires oversight, coordination and follow-up with the Wisteria Warehouses as well as Drop Ship Vendor partners daily to make sure each order has shipped, and post shipment the order tracking number is uploaded into NetSuite, and all PO’s and Picking Tickets are reconciled, tallied and closed out in a timely and orderly manner. The candidate will be comfortable with frequent follow-ups with vendors and manufacturers to ensure customer orders are fulfilled promptly within our SLAs. The role will also include exposure to inventory ordering and tracking in NetSuite. The candidate will interact and collaborate with the VP, Operations, the Warehouse Manager, and our Customer Service team. This team member will have an excellent opportunity to join our organization at the early stages of our growth and have significant upward mobility over time. The role will be a hybrid office and remote role with a mandatory 2 to 3 days per week being in person in our Smyrna, GA offices.

The Role

This is a multi-dimensional role with a range of responsibilities, including:

· Support and execute the end-to-end order process using our NetSuite order management system

· Follow-up and manage Vendor order confirmation / shipping and/or backorder emails in shared inbox

· Provide correspondence and actively follow up as needed to ensure communication between departments on order issues

· Manage effectively SLA’s with vendors, provide score-cards for vendor performance and recommendations to Merchandising on vendor deactivations

· The incumbent will be provided with a detailed step-by-step guide for the Order Flow and Fulfilment Completion process. This needs to be followed and improved over time.

· Assist in inventory ordering (POs) from overseas and domestic vendors and tracking in NetSuite

· Assist in other business and project needs as requested

Key Qualifications

· 2 years work experience in a business environment dealing with order and drop ship vendor management with high SKU intensity

· Attention to detail, ability to work with a network of partners, and an ability to keep meticulous and detailed records and manage each order through the full cycle to completion is essential.

· Customer service experience is a plus

· You have excellent interpersonal skills to build relationships.

· Comfort with system use (NetSuite a plus) and analyzing data and drawing conclusions.

· You collaborate well with others, know how to prioritize competing deadlines, and manage expectations.

· You are responsive and are a problem solver for our customers, vendors and internally.

· Must be passionate and optimistic!! We are an enthusiastic team and are looking for someone with a ‘can do’ attitude.

· Proficient in Word and Excel.

Key Success Metrics

There are several critical KPI’s that will need to be achieved in this role for the candidate to be successful. The top three are:

1. All Drop-Ship orders are shipped to pre-agreed Service Level Agreements (SLA’s) with the Vendor when in-stock, and if back ordered fulfilled to the back-order dates previously provided with minimal delay and failure.

2. All internal Warehouse orders are shipped within 48 hours (in-stock items) and back-ordered items are fulfilled within 48 hours of receiving inventory against back orders in the warehouse.

3. Monitor incoming Inventory items and ensure that the “stock-to-dock” target of 24 hours is achieved in partnership with the Warehouse Manager.

Location for Role

· Based in Atlanta (Smyrna, GA), with the possibility of remote work – with 2-3 day mandatory Office/Warehouse work on a weekly basis.
