We are seeking a highly organized and proactive individual to join our team as a Personal Assistant. The successful candidate will play a crucial role in supporting the efficient functioning of our office and providing comprehensive assistance to our executive team. This role requires exceptional organizational skills, excellent communication abilities, and a keen attention to detail.
Responsibilities:
1. Executive Support:
Manage and maintain the executive team's calendars, scheduling appointments, meetings, and travel arrangements.
- Screen and prioritize phone calls, emails, and correspondence, ensuring timely responses and proper follow-up.
Assist with the preparation of presentations, reports, and documents for meetings and presentations.
2. Office Coordination:
Oversee day-to-day office operations, including maintaining office supplies, equipment, and facilities.
- Greet and assist visitors, clients, and partners in a professional and welcoming manner.
Coordinate and plan office events, meetings, and conferences, both on-site and off-site.
3. Administrative Tasks:
Manage filing systems, both physical and digital, to ensure efficient retrieval of documents and information.
- Process expense reports, invoices, and other financial documents as required.
Assist in the preparation and distribution of internal communications and announcements.
4. Travel and Logistics:
Coordinate travel arrangements, including booking flights, accommodations, transportation, and itineraries.
Ensure travel logistics are well-organized and aligned with the executive team's preferences and schedules.
5. Communication Liaison:
Act as a point of contact between internal teams, clients, partners, and the executive team.
Assist in drafting and proofreading emails, memos, and other written communications.
6. Special Projects:
Collaborate on various projects, event planning, and initiatives to support the organization's goals.
Requirements:
High school diploma or equivalent; bachelor's degree preferred.
- Proven experience with 3 years as a personal assistant, executive assistant, and/or office coordinator.
- Proficiency in MacBooks and G suite and other relevant software.
- Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills, with an eye for detail and accuracy.
- Strong interpersonal skills, professionalism, and the ability to handle confidential information.
- Adaptability and flexibility to manage changing priorities and work in a fast-paced environment.
- Knowledge of basic accounting and expense reporting processes.
- Flexibility to work nights and weekends as needed.
