Job Description: Office Coordinator
Position Overview: As an Office Coordinator in tortilla manufacturing, you will be responsible for processing new orders, invoicing, issuing Purchase Orders and data entry. Your role will involve coordinating with various teams to streamline operations and meet customer demands efficiently.
Key Responsibilities:
Order Processing:
Receive and review customer orders, ensuring they are complete, accurate, and meet company standards.
Enter order details into the order management system and ensure orders are processed promptly.
Communicate with sales and customer service teams to address order discrepancies or special requirements.
Monitor inventory levels to ensure items are available for order fulfillment.
Shipping Coordination:
Coordinate the packaging and shipping of orders, ensuring they are correctly labeled and shipped according to customer specifications.
Prepare shipping documentation, including packing slips, invoices, and shipping labels.
Track shipments to ensure timely delivery and resolve any shipping issues or delays.
Inventory Management:
Maintain accurate records of inventory levels and ensure proper stock rotation.
Work with the warehouse team to confirm inventory availability and resolve any discrepancies.
Update the system with inventory status and notify relevant departments about stock shortages or delays.
Issue Purchase Orders for raw material and other purchases
Customer Service:
Respond to customer inquiries regarding order status, shipping updates, and delivery timelines.
Ensure that customers receive timely updates and information regarding their orders.
Qualifications:
High school diploma or equivalent; Associate's or Bachelor's degree preferred.
Proven experience in office coordination.
Strong organizational and time-management skills.
Excellent communication skills, both written and verbal.
Proficient in using order management software and Microsoft Office Suite (Excel, Word).
Attention to detail with a focus on accuracy and efficiency.
Ability to work independently and as part of a team in a fast-paced environment.
