We are looking for a highly organized and detail-oriented Administrative Assistant to perform general office administration duties, ensuring smooth day-to-day operations. This role will involve managing office communications, coordinating schedules, handling supplies, and supporting various administrative and executive support tasks across departments. The ideal candidate is a strong multi-tasker, has excellent communication and computer skills, and enjoys working in a very fast paced team-oriented environment.
Key Responsibilities:
General Office Support: Perform general clerical duties including managing actions and follow ups, responding to emails, filing, and managing inter and head office communications.
Office Supply Management: Monitor and maintain inventory of office supplies and place orders as needed, ensuring the office is well-stocked and organized.
Reception Duties: Greet visitors, manage incoming and outgoing mail, and direct visitors to appropriate staff members.
Meeting and Event Coordination: Assist in scheduling and organizing internal and external meetings, including setting up meeting spaces and preparing any necessary materials. Coordinate visitor and staff food deliveries.
Data Entry & Record Keeping: Maintain accurate office records, databases, and filing systems, ensuring documents are properly organized and accessible.
Scheduling Support: Assist in coordinating calendars for team members, scheduling meetings, and appointments as needed.
Document Preparation: Prepare, edit, and format documents, spreadsheets, presentations, and reports as requested.
Expense Tracking: Support tracking of office expenses and assist with budget-related tasks, such as processing invoices and submitting expense reports working with headquarters finance group.
Vendor Coordination: Liaise with internal and external office vendors and service providers, coordinating office repairs, maintenance, and deliveries as necessary.
-Administrative Projects: Support various administrative projects, assisting departments with research, data collection, or document preparation. Support in house recruiter with candidate and staff scheduling and communication.
Qualifications:
Experience: At least 3 years of experience in an administrative or office support role.
Education: High school diploma required; additional certification or a degree in office administration or a related field is a plus.
Skills:
- Strong organizational and time management abilities.
- Excellent verbal and written communication skills. Bilingual (Spanish) a plus.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and similar applications. Ability to quickly learn new software applications.
- Ability to multitask, prioritize, and manage tasks efficiently.
- Detail-oriented with strong problem-solving capabilities.
- Able to exercise excellent judgement regarding handling external and internal confidential communications.
- Ability to thrive in a very fast-paced environment with frequent priority changes.
- Comfortable working with minimal supervision and handling general office operations.
