Sea Engineering, Inc. was founded in 1973 by University of Hawaii graduate students to provide marine-related engineering, construction and diving services. Today, our company has two office locations, Hawaii and California, and over 100 employees. Our core services include coastal engineering, geophysical surveys, oceanographic and environmental studies, as well as marine waterfront construction and industrial diving.
Job Summary:
The Administrative Assistant/Receptionist will serve as the first point of contact for our company, providing exceptional customer service to clients and visitors. This role involves performing a variety of administrative tasks to support daily operations and ensure the office runs smoothly.
Key Responsibilities:
Front Desk Operations:
- Greet and welcome visitors and clients.
- Manage incoming phone calls, directing them to the appropriate personnel.
- Maintain a tidy and organized reception and conference areas.
Administrative Support:
- Travel Coordination: Making reservations for flights, accommodations, and transportation.
- Handling incoming and outgoing mail, including FedEx, UPS, etc.
- Order and manage office supplies and inventory.
- Ordering and distribution of company merchandise
- Prepare and transport bank deposits
- Coordinate maintenance and repairs for office equipment.
- Assist with onboarding of new employees and applicants
- Monitor, track, and update certifications
- Submit and track DoD passes
- Notify employees when certifications and passes are nearing expiration
Collaboration:
- Work closely with team members to support various projects and initiatives.
- Assist in organizing company events and meetings.
Qualifications:
- High school diploma or equivalent
- 3 years of experience as a receptionist or administrative assistant
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Ability to maintain confidentiality and handle sensitive information.

Compensation: Based on experience, this role’s base pay range is between $40K and $50K annually.
