Hiring a proactive, professional, flexible, and creative minded Personal Assistant to provide a wide range of high-level, white-glove, complex administrative support. The ideal candidate will be energetic, a team player, focused, and have strong attention to detail and ability to multi-task under tight deadlines. The capacity to take charge, determine priorities, and work with confidential information is a must. The Personal Assistant will be able to work independently on projects, from conception to completion, exercising good judgment and utilizing high-level communication, administration, and organizational skills. Duties (including but not limited to):
- Coordinate and plan corporate, non-profit, and personal family events; this includes but is not limited to research, organization, liaising with vendors and staff, print material design and distribution, marketing, and all related creative and logistical tasks.
- Actively manage the family calendar and schedule.
- Manage separate daily calendar/project updates head of household.
- Coordinate global and domestic travel for all family members: organizing multi-city travel schedules/itineraries, coordinating travel documents (Visas, passports), managing all country club relationships in several US cities, coordinating all personal trips and vacations.
- Maintain files and organize documents.
- Create, edit, and update administrative documentation.
- Manage all personal expense reporting and approvals, follow ups, and reimbursement.
- Collaborate with household employees concerning purchases, deliveries, etc.
- Proactively make weekly dinner reservations/orders for the family.
- Manage board requirements, season ticket memberships, and Charitable Trust relationships, acting as the first point of contact for scheduling and events.
Requirements:
- Valid Driver’s License.
- Willingness to be accessible and available during off-hours to resolve travel emergencies.
- Ability to manage several different stakeholders simultaneously.
- High level of competency with Google Suite; including, calendar, docs, drive, etc.
- Minimum of 5 years’ experience in a similar role.
