Position Overview:
The Confidential Secretary for Administrative Services will provide critical support to the administration by managing administrative tasks, promoting effective communication, and maintaining confidentiality. This role is essential to the smooth operation of our district, contributing to curriculum, assessment, professional development services, compliance, and communications.
Qualifications:
- Minimum of five years of secretarial and/or administrative assistant experience required; executive-level administrative experience preferred.
- Proficiency in school district-specific software, including but not limited to ProSoft Financial Software, Curriculum Mapping Software, PowerSchool SIS, Edulink Comply Software, and Frontline AESOP, is highly desirable.
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant programs.
- Excellent written and verbal communication skills, with mastery of grammar, punctuation, and spelling.
- Exceptional organizational and interpersonal skills with the ability to multitask and prioritize deadlines effectively.
- Discretion in handling sensitive and confidential information such as during employee contract negotiations.
- Ability to work independently and collaboratively with diverse stakeholders.
Key Responsibilities:
Administrative Office Support:
- Perform general office duties, including managing correspondence, scheduling, and maintaining records.
- Assist with the preparation of reports, meeting agendas, and professional correspondence.
- Coordinate travel arrangements and professional development sessions
Communications and Development:
- Promote high-quality internal and external communication strategies, including newsletters, eBlasts, and social media updates.
- Maintain contact information for district departments and community organizations.
- Collaborate with media outlets to enhance community engagement and transparency.
Curriculum, Assessment, and Professional Development Services:
- Assist in managing digital curriculum resources and professional development reporting.
- Support the organization of workshops, textbook adoption processes, and inventory tracking.
- Coordinate data presentations and state reporting for the district
- Support accurate data collection and state reporting processes.
Grant Coordination:
- Maintain a master list of grants, tracking reporting requirements and project updates.
- Assist with grant-related purchases and compliance documentation.
Budgeting and Financial Support:
- Assist with budget preparation, tracking, and purchase order processing for the Assistant Superintendent and Superintendent.
- Ensure accurate financial record-keeping and monthly expense reconciliation.
Miscellaneous:
- Serve as a back-up to the Board Secretary and assist with special projects as assigned.
