The Position: As an Executive Assistant and Office Manager at Congruex, you will play a pivotal role in ensuring the efficient operation of our executive offices. You will be responsible for providing high-level administrative support to our executive and senior leadership team, allowing them to focus on strategic decision-making and company growth. Your attention to detail, exceptional organizational skills, and proactive approach will be essential in this role. As the Office Manager, you will work to ensure the office is run smoothly and efficiently, a well-oiled machine, making it easy for our employees to give their best. You’ll be an integral part of the office support team, joining forces as a strong team player, with our Boulder team to make sure both locations operate as One Congruex.

As the Office Manager, you will work to ensure the office is run smoothly and efficiently, a well-oiled machine, making it easy for our employees to give their best. You’ll be an integral part of the office support team, joining forces as a strong team player, with our Boulder team to make sure both locations operate as One Congruex.
Job Responsibilities (Including, but not limited to):
Calendar Management:
- Efficiently manage and prioritize complex calendars, scheduling meetings and appointments.
- Coordinate internal and external meetings, ensuring all necessary materials and resources are prepared in advance.
Communication and Correspondence:
- Handle board and executive-level correspondence, including drafting emails, reports, and presentations.
- Act as a liaison between the executive team and internal/external stakeholders, maintaining professionalism and confidentiality.
Travel Arrangements:
- Arrange domestic and international travel logistics, including flights, accommodations, visas, and itineraries.
- Monitor travel-related expenses and ensure compliance with company policies.
Documentation and Record Keeping:
- Maintain and organize important documents, records, and files, both in physical and digital formats.
- Assist in the preparation and distribution of meeting agendas, minutes, and reports.
Office Management:
- Oversee the Denver office's daily operations, including reception/front desk, answering phones, ordering supplies and maintaining a neat and organized workspace.
- Coordinate special events, conferences, and executive team retreats as needed.
- Act as the primary contact for contractors, vendors, and building management for maintenance, cleaning, etc.
- Work with Congruex Safety Team to manage emergency contingencies plan.
- Manage building parking, RTD eco-passes, and security database.
- Have in-depth knowledge of office technology and how to set up calls, video conferences, etc. and troubleshoot set up and connectivity issues as necessary.
Problem Solving:
- Proactively identify and address administrative and logistical issues and challenges, finding solutions to improve efficiency and productivity.
- Use experience and provided resources to help you think quickly and act on your feet in stressful situations.
Confidentiality:
- Handle sensitive information with the utmost discretion and maintain a high level of confidentiality at all times..
Required Skills & Qualifications:

- Bachelor's degree or equivalent work experience.
- Proven experience as an executive assistant.
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.).
- Able to navigate working on both a Mac and Windows computer.
- Detail-oriented with a commitment to accuracy.
- Ability to work independently and under pressure.
- Strong problem-solving skills and a proactive approach.
- Professional demeanor and excellent interpersonal skills.
Desired Skills & Qualifications:
- Previous experience in the telecom, utility, construction, and/or engineering industry is a plus.
