What are the responsibilities and job description for the Administrative Assistant - Construction position at Construction Inc?
Construction Inc, is looking for a dedicated Administrative Assistant to perform a range of administrative tasks to provide support for the Construction department and projects throughout the project life cycle. The ideal candidate has a sense of urgency and is an adaptive self-starter with the ability to work under project circumstances ranging from nearly independent to closely managed.
Duties and Responsibilities:
- Day-to-day operations include sending out and collecting subcontracts, insurance, and warranties
- Sending projects out to bid on a third-party platform and filing those for the project manager
- Assist with scheduling meetings, note taking, delegation, and follow-up
- Hold internal team members accountable to timelines and tasks
- Create and update spreadsheets and special reports for internal use
- Process construction documents including client and subcontractor agreements
- Ability to communicate with internal staff in different departments as well as clients and subcontractors
- Demonstrates ability to work independently as well as collaboratively with different departments
- Willingness to continue to learn new aspects of the construction process and assist when needed
Requirements:
- Detailed, highly organized individual with the ability to multi-task
- Excellent written and verbal skills
- Excellent organization skills, attention to detail, and listening/comprehension
- Strong computer skills with proficiency in Microsoft Office and other management software
- Previous experience in a construction office preferred but not required
