FPI Security Services is looking for an Administrative Assistant/Receptionist for our headquarters in Pembroke Pines, FL. A great candidate would be someone that communicates well in a diverse workplace. Our administrative assistant would communicate regularly with our CEO, Vice President and various departments.
Key Responsibilities
✅ Customer Service & Communication
- Answer, screen, and direct incoming calls promptly and professionally.
- Handle inquiries, provide information, and resolve minor issues or escalate them appropriately.
- Attention to detail, ability to work under pressure, Teamwork.
✅ Scheduling & Coordination
- Manage and update schedules for security personnel, ensuring proper shift coverage.
- Coordinate appointments, meetings, and interviews as needed.
- Communicate shift assignments and schedule changes with security staff in a timely manner.
✅ Administrative & Office Support
- Maintain organized records of employee schedules, attendance, and client interactions.
- Prepare and process documents, reports, and correspondence.
- Ensure compliance with company policies and procedures.
Qualifications & Skills
✅ Experience: 1-3 years in an administrative, receptionist, or customer service role.
✅ Technology: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and scheduling software.
✅ Communication: Strong verbal and written communication skills. Must be able to read, write, and type in English. Bilingual in Spanish is a plus.
✅ Organization: Excellent time management, multitasking, and problem-solving abilities.
✅ Professionalism: Ability to handle sensitive information with discretion and professionalism.
✅ Flexibility: Willingness to adapt to changing schedules and operational needs.
