Under general supervision, oversees and participates in the academic support services and activities of the Academic Support Services learning lab(s) or "Panther Learning Lab(s)" to support students, faculty, and instruction in an academic learning environment in an assigned academic area, assists in the recruitment, selection, training, and oversight of hundreds of peer tutors, ambassadors, and other student workers each semester; coordinates and organizes student worker caseloads; develops and provides subject matter expert-level tutoring, supplemental instruction, and workshops; proctors student testing; develops and maintains online tutoring modules; learns, deploys, and trains on technologies that support teaching and learning; performs related duties as assigned.
DISTINGUISHING CHARACTERISTICS:
Academic Support Specialist is distinguished from the Academic Support Coordinator in that an incumbent in the latter class provides support for Panther Learning Lab software and operational enhancement and oversees the operations of the testing center.
Examples of Duties
REPRESENTATIVE DUTIES:
• Facilitates the peer tutor recruitment and hiring processes for an assigned academic area; assists students with the peer tutor application process; participates in the recruitment, screening, interview, selection, and onboarding processes of peer tutors, ambassadors, and other student workers; assists support staff with reviewing/confirming student academic eligibility; develops work schedules and tracks work hours for new and returning student workers; participates extensively in student worker training, oversight and performance evaluation, including mentoring and shadowing throughout the semester
• Works with faculty to identify potential peer tutors and to determine instructional support needs; assists faculty in tasks such as checking educational materials and equipment in and out, reviewing instructional materials and compiling student scores; develops tutoring lesson plans and provides support that aligns with and reinforces course and department Student Learning Outcomes.
• Provides routine to advanced academic tutoring services to individual students or groups of students; screens and assesses student needs and available Panther Learning Lab resources to meet them; explains subject-matter theory and concepts and operations applicable to all levels of classes in assigned subject matter.
• Develops, designs and implements subject-matter workshops, handouts, assignment prompts, and online training modules consistent with faculty curriculum and instructional materials to facilitate student success; uploads and maintains department-maintained materials on applicable websites.
• Assists in the development and implementation of peer tutor training in a variety of in-person and online formats; develops and maintains training materials including reference guides and videos; supports educational technology integration into instruction and training of peer tutors on usage of new technologies, collaborative learning techniques, and study skills.
• Develops and maintains the schedule of tutoring appointments, activities, supplemental instruction sessions, self-taught modules and academic workshops in assigned academic area; investigates student concerns regarding tutoring services, scheduling of appointments and Panther Learning Lab policies and procedures;. collaborates with, makes suggestions to, and refers to services from other departments as needed.
• Monitors and assesses student progress; provides feedback to faculty on issues and concerns if student progress is not being observed and may recommend assessment or other steps to address these issues for faculty consideration; meets with faculty members regularly to learn about new course materials and instructional guidelines; implements various forms of educational technologies in support of tutorial services including online tutorial services.
• Provides support to students having problems with instructional software such as Canvas, Google Workspace, and course-specific software; may assist in training other Academic Support Specialists and peer tutors in department data productivity software.
• Assists Director/management in achieving program objectives, Student Learning Outcomes (SLOs) and Service Area Outcomes (SAOs) by using predictive and trend data to forecast tutoring needs in each subject area, for program evaluation, measurement and verification activities, preparing and for participant and program activity reports; assists with studies and complex data analyzes to evaluate program operations and effectiveness; suggests operational and facilities enhancements to management.
• Leads or assists with area/program services and events such as Math Academy, Study-A-Thon, and tabling and resource fairs; schedules and makes classroom presentations; develops and distributes electronic print materials and posts to department social media accounts; may present to community groups or other educational institutions.
• Coordinates workshops and events for area(s) of assignment, including liaising with event presenters, participants, vendors and sponsors; develops and oversees production of materials, collateral and promotional items; works with other campus departments and facilities; assists with onsite troubleshooting as needed and when possible.
• Proctors/administers and scores tests, quizzes, assignments and assessments as appropriate and in accordance with established protocols and scales; follows established procedures for test administration including verifying student identity and providing appropriate accommodations for students with disabilities; assists students in interpreting test instructions; observes students during test to ensure test administration instructions are being followed (when proctoring); reports any incidents of suspected cheating or other inappropriate conduct to the Director and faculty; maintains the security of tests and test results.
• Supports faculty in the development, analysis and assessment of Student Learning Outcomes (SLOs), and management for Service Area Outcomes (SAOs), to measure and improve program effectiveness (Program Planning and Assessment) and, in collaboration with the supervisor or manager, implements program modifications as necessary.
• Performs other related duties as assigned.
As Assigned:
• Coordinates marketing and outreach efforts of the Panther Learning Lab(s) to promote and raise awareness among campus stakeholders, including faculty, staff, students and administrators, of the academic support and tutoring services and resources available to students, and all applicable policies, procedures, and practices.
• Utilizes software such as Mailchimp and Zapier to develop print and digital communications, marketing, and outreach materials; distributes to the main and satellite campuses on a regular basis.
• Creates program branding and marketing materials such as brochures, logos, program giveaways, presentations, and promotional and instructional videos using software such as Adobe Photoshop, Illustrator, Canva, iMovie, Google Products, CapCut, and Procreate.

• Advanced knowledge of academic support services and Panther Learning Lab goals, objectives, policies, procedures, and practices applicable to area of assignment.
• Subject-matter expertise in assigned academic discipline(s) commensurate with education and assigned courses.
• National standards and best practices for learning centers applicable to assignment.
• Teaching and learning principles and practices.
• Modern office practices, procedures and equipment including computers, applicable academic support software programs and third-party management information systems.
• General principles, practices and techniques used in customer service and student outreach.
• District student recordkeeping practices and procedures for processing student information and interpreting input and output data.
• Basic research methods and analysis techniques.
• Principles and practices of effective business and educational communication.
• Correct English usage, including spelling, grammar, mechanics, and punctuation to facilitate tutoring.
• Federal, state and local laws, regulations and court decisions governing area of assignment including Family Educational Rights and Privacy Act (FERPA), Title V, Title IX, academic integrity, and apportionment for tutoring guidelines.
Skills and Abilities to:
• Oversee and implement the day-to-day activities and services of the assigned academic support area and student workers.
• Apply and explain rules, regulations, policies, procedures, and best practices regarding assigned program(s).
• Evaluate student learning support needs and determine appropriate course of action.
• Liaise with a variety of faculty/instructors, administrators, students, and staff to meet student and program objectives and outcomes.
• Assist in planning and implementing program services and activities.
• Organize, set priorities, and take initiative in areas of responsibility.
• Assist in program-related tracking and reporting.
• Maintain confidentiality of college and student files and records.
• Compose clear, concise, and comprehensive analyses, correspondence, reports, studies, agreements, presentations and other written materials with limited instructions.
• Operate a computer and use standard business software.
• Exercise tact and diplomacy in dealing with sensitive, complex and confidential student issues and situations.
• Demonstrate an understanding of, sensitivity to, and appreciation for the academic, ethnic, socio-economic, disability and gender diversity of students and staff attending or working on a community college campus.
Supplemental Information
• A bachelor's degree in a relevant academic discipline and two (2) years of experience working in an instructional setting providing academic support to students or an equivalent combination of training and experience.
A bachelor's degree in a STEM (Science, Technology, Engineering, or Math) field is highly desired.
CONDITIONS OF EMPLOYMENT:
Regular full-time, 12 months per year classified position on Main Campus. Weekly Schedule: Monday-Friday, 8:00 am -5:00 pm. The starting salary is $5,937/month (Step A). Salary range 34 on CSEA salary schedule: $5,937 to $7,216) monthly(5 Steps); District provides health benefits, which currently consist of full medical, dental, and vision insurance for employees and a high percentage of coverage for eligible dependents. District-paid life, accident, and income protection insurance is provided for the employee only. Must become a Public Employees' Retirement System (PERS) member.

Hartnell College is one of the oldest institutions of higher education in California. Founded in 1920 as Salinas Junior College, the school was renamed Hartnell College in 1948, and the Hartnell Community College District was established the following year. The College is preparing to join with its students, employees, alums and the greater community to celebrate its Centennial, beginning in Fall 2019. Hartnell moved into a new building on its current 54-acre site, at 411 Central Ave. in Salinas in 1936. The Main Campus is located in Monterey County, just a 25-minute drive from the scenic Monterey Peninsula and the Monterey Regional Airport. Its Alisal Campus in east Salinas, opened in 2014, houses its Agricultural Business and Technology Institute, its Sustainable Design and Construction Center, a diesel program, an automotive technology program and its computer science program. Hartnell also holds classes at its education center in King City, opened in 2002, and at numerous off-campus locations in north and south Monterey County. Thanks to a $167 million local bond measure – known as Measure T – approved by district voters in 2016, it is preparing to expand that facility and open new centers in Soledad and Castroville, as well as a new state-of-the-art building for its nursing and allied health programs on the Main Campus. Along with renovation of two classroom buildings and new landscaping, also on the Main Campus, those projects are scheduled for completion by 2021. The College serves the Salinas Valley, a fertile agricultural region some 10 miles wide and 100 miles long, as well as part of southern San Benito County. It draws most of its annual enrollment of 17,000 students from Salinas and the communities of Bradley, Castroville, Chualar, Gonzales, Greenfield, Jolon, King City, Lockwood, Moss Landing, San Ardo, San Lucas and Soledad. Students also come from Monterey Peninsula communities and elsewhere in California’s Central Coast, as well as from other states and countries.
