What are the responsibilities and job description for the Accounting Assistant position at Illinois College of Emergency Physicians?
Reports To: ICEP & ITLS Accountants; Executive Director
Summary
Assist with research, filing, data entry, and recording and maintaining accurate and complete financial records.
Based on the duties described below, this is a part-time, exempt, hybrid position.
Duties, responsibilities, and special projects may include but are not limited to the following:
Customer Service Support
· Respond to member, vendor, and other customer inquiries via phone and email.
· Communicate with vendors and members regarding outstanding balances or payment issues.
Accounts Payable & Receivable Support
· Assist with ICEP and ITLS preparation of financial reports, accounts payable, accounts receivable, inventory reconciliation, invoices, and other related initiatives as needed.
· Oversee management of quarterly ITLS Course Management System (CMS) Course Receivable reports and summary compilation.
· Assist with preparation of bookstore picking slips, orders and support with shipping as needed.
· Assist in processing and managing invoices, payments, and receipts.
Data Entry & Recordkeeping
· Maintain accurate financial records in accounting software or spreadsheets.
· Assist accounting and finance team with preparation and analysis of financial data for audit, tax returns, reconciliation, filing, and data entry.

Compliance & Confidentiality
· Ensure that all financial transactions and records comply with relevant regulations and association policies supporting the Accounting & Finance team.
· Maintain confidentiality of all financial and member-related information.
General/Administrative
· Provide administrative support to the Executive Director in coordination of Board and Finance Committee meetings including scheduling, meeting minutes, and reports as needed.
· Develop procedures manual for all responsibilities of this position.
· Perform all other job-related duties as required or assigned.
Qualifications:
· High school diploma or equivalent with 1 year previous accounting or administrative experience.
· Pursuing a degree (such as (associate or bachelor’s degree) or related training in accounting, finance or related field is preferred.
· Experience with QuickBooks accounting software or related or willing to learn.
· Proficient in Microsoft Office Suite (Excel, Word, Outlook), with advanced Excel skills preferred.
· Interested in non-profit accounting or finance a plus.
· Ability to handle sensitive financial information with discretion.
· Ability to coordinate multiple projects and tasks simultaneously.
· High level of organization and ability to manage deadlines.
Travel: Minimal travel as determined by the Executive Director.
Hybrid work environment of 50% of time in the office and 50% remote per week with flexible hours.
