WHAT YOU’LL DO
Contract Management:
· Review, negotiate, and manage all company contracts, including vendor agreements, subcontractor contracts, and client projects.
· Ensure all contracts are compliant with legal, regulatory, and company standards for multiple entities.
· Monitor contract timelines, deliverables, and obligations, maintaining accurate records.
Bid Process:
· Aid in the preparation, submission, and tracking of project bids.
· Collaborate with project managers and estimators to gather necessary information for competitive and accurate bids.
· Maintain a database of past bids, pricing structures, and competitor analysis to inform future strategies.
· Ensure timely submission of bids and adherence to client-specific requirements, deadlines, and various portals.
Budgeting and Financial Oversight:
· Prepare, review, and submit accurate invoices for construction projects, ensuring compliance with contract terms, billing schedules, and company policies.
· Monitor expenses related to office needs, contracts, and project management activities.
· Identify and implement cost-saving initiatives without compromising quality.
· Sign and notarize affidavits, lien waivers, payroll reports and other documentation as needed.
Operational Support:
· Coordinate with project managers and other departments to support the execution of various projects including residential, commercial, and public.
· Coordinate and input all necessary project details into the company's construction management system, ensuring accurate and timely setup for project tracking and execution.
· Execute the permitting process for projects within multiple municipalities, including preparing and submitting applications and ensuring all required permits are obtained and maintained in compliance with local, state, and federal regulations.
· Ensure procurement of office supplies, equipment, and services needed for operations.
Regulatory Compliance:
· Maintain compliance with federal, state, and local regulations, including labor laws and safety standards.
· Oversee the upkeep of company records, licenses, and certifications.
· Ensure proper documentation and record-keeping practices across departments.
WHAT YOU’LL NEED
· Bachelor’s degree in Business Administration, Management, or a related field preferred.
· 3 years of administrative experience, preferably in the construction or paving industry.
· Ability to work in a fast-paced, deadline-oriented environment.
· Strong organizational and multitasking skills.
· Excellent interpersonal and communication skills.
· High level of skill using Word, Excel, Outlook, and Foundation.
· HCSS (construction Heavy Bid & Heavy Job) experience a plus.
· Strong decision-making and adaptability to thrive in a fluid environment.
· Exceptional team orientation and ability to collaborate effectively.
