Key Responsibilities
- Answering phones in a professional and courteous manner, routing client service inquiries to appropriate team
- Inputting and managing client data in CRM system.
- Managing database and scheduling calendars.
- Scheduling client appointments.
- Meeting preparation including agendas and other necessary forms as well as appointment confirmation calls.
- Preparing conference room for appointments and greeting clients upon arrival.
- Reviewing incoming mail and routing to appropriate team member.
- Printing and assembling outgoing mail for the office, including occasional event and appreciation mailings.
- Maintaining office inventory and ordering office supplies for the team.
- Providing general administrative support to financial advisors and operations team.
- 3 years of experience working in administrative/client-service focused position(s).
- 5 years of experience working with PCs and Microsoft Office programs.
- Professional and strong work ethic with personal integrity.
- Strong communication skills, both verbal and written.
- Excellent organization skills with high attention to detail and accuracy.
- Ability to prioritize and multi task with little supervision.
- Quick learner who is flexible and able to adapt to new technology and processes.
- Reliable and responsible with team player mentality.
- Ability to work well independently as well as part of a team.
