Overview
The primary responsibility will be to act as the central office administrator for our 2300 Rogers Ave office in Coquitlam. This includes being the first point of contact for visitors, deliveries, and inquiries. performing payroll tasks for the operation, general office management duties, supporting our accounts payable team, and other general administrative support deemed necessary by the General Manager. The ideal candidate must be self-motivated, willing to work with all personalities, have exceptional communication skills, and ability to take the initiative in performing tasks.
Responsibilities
General Administrative Duties
- Greeting internal and external guests
- Answering and directing inquiries
- Order and maintain office supplies
- Organize incoming and outgoing mail
- Help coordinate outgoing deliveries/pickup
- Other administrative duties as required
Contract Administration
- Document control for Estimating Department
- Ordering and reviewing bonds and insurance.
- Preparing final tender documents for submission.
- Prepare Word documents (correspondence) of high quality, often of confidential nature, including letters memoranda, reports, presentations, minutes, Excel Spreadsheets, and Power Point Presentations, etc.
- Perform all other administrative duties as assigned by Estimating Manger
Qualifications
- 2 years of experience in an administrative position. (Experience in the construction industry is an asset.)
- Google Workspace & Microsoft Office knowledge & skills (Gmail, Word, Excel)
- Strong organizational skills
- Strong customer service, communication and time management skills
- Pleasant and professional etiquette
- Ability to multitask and work in a team environment
