Position Summary:
As an Office Assistant, you will play a key role in managing the first impressions of our company and controlling access of salespeople to protect the time and resources of all team members. Responsibilities include greeting guests, managing incoming and outgoing calls, scheduling appointments, and providing administrative support to our team. Our ideal candidate is customer-service oriented, possesses excellent communication skills, and has a professional appearance and can-do attitude.
Key Responsibilities:
· Greet and welcome guests upon arrival.
· Direct visitors to the appropriate person and office.
· Screen sales calls and accept information for review by other team members.
· Assist with administrative tasks.
· Help plan and coordinate company events as needed.
· Ensure security, integrity, and confidentiality of company data.
· Ensure office, hospitality and misc. supplies are stocked and organized.
· Answer, screen, and forward incoming phone calls.
· Provide basic and accurate information in-person and via phone/email.
· Receive, sort, and distribute daily mail and deliveries.
· Maintain office security by following safety procedures and controlling access via the reception desk.
· Ensure reception area and office is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures).
· Perform clerical duties such as filing, photocopying, transcribing, and faxing.
· Schedule appointments, update calendar and arrange meetings.
· Manage meeting room availability.
· Attend and participate in regular meetings.
· Manage or coordinate miscellaneous projects as requested.
Required Qualifications:
· High school diploma or equivalent. Certification in Office Management is a plus.
· Valid driver’s license with good driving record; must provide own transportation to shop or work site each day (having your own vehicle Is essential).
· Proven work experience as a Receptionist, Front Office Rep or similar role.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Detail-oriented.
· Hands-on experience with office equipment (e.g. phone, fax, copy, scan, and printers).
· Professional attitude and appearance.
· Solid written and oral communication skills.
· Assertive, proactive, resourceful and adaptable.
· Excellent organizational skills.
· Multitasking and time-management skills, with the ability to prioritize tasks.
· Familiarity with Construction, Excavation, or Trucking Industry desirable.
