The person selected for this position will serve as the Executive Assistant to Tax Collector, Nancy C. Millan. Principal Duties and Responsibilities (Essential Job Functions)
- Organize and expedite the flow of information to and from the Tax Collector*
- Manage and maintain the Tax Collector’s schedule; make travel arrangements*
- Compose correspondence on behalf of the Tax Collector*
- Conduct research, compile data, and prepare documents, reports, and publications on behalf of the Tax Collector*
- Prepare and deliver presentations on organization initiatives*
- Facilitate the resolution of customer inquiries, requests and complaints that escalate to the executive level*
- Plan and coordinate executive meetings, luncheons, and other business events*
- Assist in the overall administration of the executive office by preparing invoices, requisitions, budget requests, and other documents for Tax Collector approval*
- Meet with individuals, special interest groups, and others on behalf of the Tax Collector
- Oversee and manage special projects involving diverse administrative operations
Required Experience:
Considerable knowledge of administrative practices and procedures- Considerable knowledge of principles and processes for providing customer service
- Knowledge of the principles of strategic planning and other executive level business activities
- Knowledge of a variety of computer software applications such as MS Office Suite, SharePoint and Adobe Creative Suite
- High level of interpersonal skills
- Excellent oral and written communication skills
- Excellent reading and oral comprehension skills
- Ability to use a computer and general office software and equipment
- Ability to conduct research, collect and analyze data, and prepare reports
- Ability to establish and maintain effective working relationships with others
- Ability to prioritize work
- Ability to represent the Tax Collector at meetings and conferences
- Ability to maintain confidentiality when dealing with sensitive information
- Work requires regular and reliable attendance
- Work requires typing correspondence and data entry and ability to concentrate
- Work is generally sedentary but may require standing and walking up to 15% of the time
Qualifications
- AA/AS degree and 2 years of experience performing high level administrative duties.
- An equivalent combination of education and experience may be considered.
Working Conditions
Work is performed in an indoor office environment without hazardous or unpleasant conditions caused by noise, dust, or adverse weather/environmental conditions
