Job Summary
We are seeking a friendly and organized Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires excellent communication skills, a professional demeanor, and the ability to multitask effectively in a fast-paced environment.
Duties
- Greet and welcome visitors in a professional manner.
- Answer and direct phone calls, taking messages when necessary.
- Manage appointment scheduling and maintain the calendar for office staff.
- Perform administrative tasks including filing, data entry, and document preparation.
- Assist with proofreading documents to ensure accuracy and professionalism.
- Maintain office supplies inventory and place orders as needed.
- Utilize QuickBooks for basic financial record keeping and invoicing.
- Provide support as a personal assistant to management when required.
- Communicate effectively with clients in both English and Spanish (if applicable).
- Ensure the front desk area is tidy and presentable at all times.
Requirements
- Previous experience as a receptionist or in an administrative role is preferred.
- Strong organizational skills with the ability to manage time effectively.
- Proficiency in Microsoft Office Suite; familiarity with QuickBooks is a plus.
- Excellent verbal and written communication skills.
- Ability to handle multiple tasks simultaneously while maintaining attention to detail.
- A friendly and approachable demeanor with a commitment to providing outstanding customer service.
- Bilingual in Spanish is considered an asset but not mandatory.
- High school diploma or equivalent; additional qualifications as a dental receptionist or personal assistant are advantageous.
