Administrative Assistant
Reports To: Operations Manager
Luby Equipment Services, is a growing, family company that recently celebrated our 50th Anniversary! Luby has a growing oilfield division and is one of the leading providers of Heavy Equipment, Service, Rentals and Parts in the industry. We need an organized Administrative Assistant to manage our growth. The company has grown to three divisions, construction, power generation, and oilfield division located in Missouri, Illinois, Arkansas, and West Virginia. Summary: The Administrative Assistant answers the phone, distributes mail, assists management with payroll, customer invoicing and coding of bills to pay, mobile deposits, and works closely with other departments to handle special projects that will not interfere with primary responsibilities.
Schedule: Flexible 3 days (8 AM to 4 PM).
- Answer all incoming calls with a pleasant and professional manner and direct calls efficiently throughout the company
- Process and generate invoices in ERP system, including uploading appropriate documentation into the customer’s portal
- Assist with safety and upkeep of Federated Safety Training, and Safety Services documentation
- Assist manager with weekly payroll which includes entering time accurately and tracking weekly per diems for air hands
- Assist manager with hiring and terminations of employees as needed
- Making mobile bank deposits
- Assist with coding of accounts payable invoices and submitting to accounting department at corporate office for payment in a timely manner
- Distribute incoming mail promptly and efficiently
- Handle correspondence for management team as needed
- Ability to assist with other projects, as needed
- Assist manager with employee relations, as needed
Requirements:
- Must be prompt and dependable
- Experience with Microsoft Office and knowledge of typical dealer business systems
- Excellent interpersonal skills with strong written and oral communication skills
- Team player with an orientation to monitoring transaction details
