Job Description
POSITION TITLE: Assistant Registrar
NORMAL WORK HOURS: 40 hours per week, Monday-Friday
IMMEDIATE SUPERVISOR: Associate Registrar
POSITION SUMMARY:
The Assistant Registrar is the front line of customer service for the Registrar’s Office with curriculum emphasis on standard and non-standard semester course entry, major declarations, degree audits, and the transcript components of Olin’s Learning Continuum. In addition to working with the Associate Registrar on daily, semester, and annual registration operations for the College, the Assistant Registrar will have additional responsibility for the creation, processing and maintenance of non-standard academic activities, such as independent study, research, cross registration and course substitutions/transfer credit and the Passionate Pursuits and Co-Curricular programs, on a semester basis. As the lead team member of the front-line operation for the Registrar’s Office, the Assistant Registrar will assist in areas as needed with visitors and special events.
Working both independently and as a team member in a small office, this position is responsible for a broad range of skilled administrative tasks, as well as executing select academic projects related to the work in the Registrar’s Office. The successful candidate will be extremely organized, possess strong oral and written communication skills, be computer proficient, open to learning new tools, a self-starter, demonstrate good judgment and able to prioritize multiple tasks.
RESPONSIBILITIES:
- Provide customer service to the Olin Community and external queries.
- Creation, processing, and maintenance of standard, and non-standard, academic activities (independent study, research, cross-registration, passionate pursuits and co-curriculars).
- Respond to student requests related to enrollment verifications, transcripts, registration, course substitutions/transfer credit, cross-registration, on-line registration and grading.
- Manage the Course Substitution and Transfer Board’s requests.
- Process transfer credit approvals.
- Manage and process cross-registration requests as the home school and as the host school.
- Provide administrative support for the co-curricular program from the call for activities through the posting of transcript recognition.
- Work with faculty leadership and the Associate Dean for Academic Programs, Registrar on major declarations, student degree audits and graduation audits.
- Manage the Engineering Certificate programs with registration preference, academic audits and overall support for the programs, including the issuance of certificates as appropriate.
- Creation of semester registration materials alongside the Associate Registrar.
- Maintenance of the web pages within the Registrar domain.
- In conjunction with the Registrar, annual maintenance of College Catalog using vendor software.
- Act as the student petition liaison for the Committee on Student Academic Performance.
- Triage external and internal queries.
- Manage student academic files.
- Assist with Commencement, as needed.
- Other duties as assigned.
EXPERIENCE AND QUALIFICATIONS:
- Bachelor’s degree
- 3-5 years of professional experience, preferably in an academic or higher education environment; knowledge of student information systems preferred
- Excellent customer service and interpersonal skills, including strong verbal and written communication skills
- Analytical and problem-solving skills
- Ability to handle multiple tasks and projects simultaneously, effectively, and efficiently.
- Skill in organizing resources and establishing priorities.
- Team-oriented, reliable, flexible, and professional
- Knowledge of Microsoft Office products, as well as student information systems and tools.
