JOB OBJECTIVE: Project Manager is the first point of contact for the client and directly responsible for the progress, overall direction and completion of each project ensuring that the schedule, budget, and specifications are strictly implemented per the terms of the contract.
Project Manager will implement, maintain, identify and resolve conflicts/potential conflicts relating to the schedule, budget, invoicing, construction documents, construction science, processes, phases, inspections, quality control, and job site safety.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Project Manager:
- Assist management and ownership formulating estimates/budgets securing future work and contracts
- Coordinate with management, clients, architect and engineers to value engineer projects as needed to work towards and obtain a final contract.
- Enter initial budget proposals in the sales portal of Builder Trend tracking leads and information presented to the client, documenting each iteration of proposals presented and communication until contract is reached.
- Maintains the most current plan, related documents and necessary construction documentation in Builder Trend with backup in Google Drive
- Capture all job information in Builder Trend with client contact information, permit number, client billing address, and jobsite information.
- Organize and maintain all documents within Builder Trend making sure documents are available to all necessary parties.
- Oversee negotiations with vendors and subcontractors to obtain budgets that fall within the client’s scope and specifications of the project.
- Negotiate contracts with external vendors to reach profitable agreements
- Establish the final approved budget that meets the format and cost codes as laid out within the Operating System per the scope of the contract.
- Once budget is established implement and maintain the budget within Companies Operating system (i.e. Builder Trend)
- Ensuring that all bills and PO’s are coded properly to the budget for proper reporting
- Awarding job to subcontractors and vendors that have met project negotiations within the scope of the project meeting the quality and expectations of company standards
- Establishes purchase orders once work is awarded to subcontractor/vendor in Builder Trend
- Update purchase orders with variance purchase orders on any subcontractor work order changes that are approved based on change in scope, approved work orders, overages that need to be captured, or approved change orders
- Update and enter negative PO’s for any returned material to ensure that all credits are captured and recorded
- Coordinating setup of new vendor packets for vendors and subcontractors ensuring they understand company terms working within company Operations
- Determine needed resources (manpower, equipment and materials) from start to finish with attention to budgetary limitations
- Secure and oversee all permitting and inspection scheduling. Coordinate required inspections with local jurisdictions and ensuring superintendent is available onsite as needed
- Ensure that subcontractors are fully executing and complying with contracted scope of work.
- Identify subcontractor non-compliance with safety, health, and environmental quality standards.
- Coordinate Project Kick-off Meeting onsite with Superintendent, Grader, Foundation
- Contractor, Framer, Lumber Supplier, Architect, Landscape Architect and Client as needed to verify house placement, finish floor height, and project details to initiate project kick-off.
- Footprint should be staked and survey completed prior to meeting
- First point of contact for clients in all aspects as they relate to the project
- Facilitate acceptable level of service and communication with Clients.
- Respond to client request in a timely fashion or ensure that superintendents, subcontractors or vendors answer as it pertains to individual scope
- Assist clients and or coordinate design collaborative to meet design needs of client’s projects guiding them through the selection process with partnered designers and vendors.
- Coordination and Scheduling of Appointments with Vendors and Clients.
- Facilitate product selection to include interior and exterior selections with vendor scheduled appointments assuring consistent records of selections.
- Compiling the selections and recording within operating system for the project
- Providing feedback to client as it results to the budget.
- Update client allowance spreadsheet and record change orders for overages when a client exceeds budget.
- Coordinate and document all change order request through Builder Trend ensuring that client signs off and agrees to the price prior to moving forward on change orders.
- Document all change order expenses obtaining pricing from subs and vendors as required per specification of change order request adding profit and overhead to each request individually prior to presenting to client.
- Develop and establish a project schedule as it relates to the scope and specifications of the project allowing superintendents to enforce subs and vendors to adhere to the timeline of the project
- Oversee, implement and enforce the weekly updating of schedule ensuring job superintendent is updating real time within operating system and subs are progressing per critical path to ensure timely completion.
- Ensure quality control duties and responsibilities are performed by superintendent regarding the work being performed.
- Minimum weekly job site visits to oversee implementation of work as it pertains to scope and specification, jobsite safety, cleanliness, signage, and overall appearance
- Notate any jobsite deficiencies in Builder Trend and assigns items as “To Dos” with defined closeout dates
- Completes takeoff of materials utilizing Plan Swift in collaboration with the Superintendent
- Oversees the superintendent in coordinating delivery of material
- Ensure material quantities are relative to takeoff quantities minimizing damaged or lost material
- Ensures that materials will arrive timely to keep subcontractors on schedule o Assist Superintendent in logistics of deliveries and coordinating material to the jobsite as needed
- Creates monthly client invoices coordinating with controller and operations
- Completes draw requests and inspections for bank lenders
- Codes and approves all bills/invoices from vendors and subcontractors by the 25th of each month
- Ensures project change orders are captured within monthly invoicing
- PM will meet monthly with Management to review budget, projected profitability, and timeline of schedule of each project
- Identify budget overages and savings
- Ensure project is in line with projected profitability
- Address or identify areas for increased profitability
- Address and forecast bottlenecking with subs and coordinating with other projects
- Identify conflicts in construction documents and coordinating with architect, engineer, superintendent and subcontractors for resolution.
- Evaluate progress and prepare detailed reports
- Ensure weekly progress photos of jobsite are being capture and uploaded into BuilderTrend
- Oversee and ensure superintendent is updating daily notes as they pertain to the project reflecting updates and necessary communication. Update project manager daily notes as needed.
- Discerning when to utilize:
- Internal daily notes restricted to only Company personnel- Client daily notes for both Company personnel and client to view- Subcontractor daily notes for Company personnel and all Subcontractors to view- or Combination of all three.
- Perform Project Management duties over multiple projects effectively and efficiently
- Trust but verify that the Superintendent has held subcontractor accountable in correcting all deficiencies identified through the scope of a project.
- Assist superintendent and subcontractors in future planning.
- Report non-compliance to management regarding quality of work or scheduling when unable to hold subs or vendors accountable
- Schedules initial job closeout with Controller and Management
- Develops internal punch list identification list
- Coordinate One week from client turn-over date, meeting with PM, Superintendent, Warranty and Management to walk the home and create closeout list.
- Minimize the number of items that are turned over to warranty punch list and resolve any concerns prior to identification by client.
- Upload Punchlist tasks into Builder Trend assigning ownership to subcontractors, vendors, or Company personnel to ensure completion
- Coordinate Client Turn Over Walk o Introduce 90 day punch list process and warranty process
- Review any remaining to do items as identified in internal walk, NC Green Built final inspection, and/or building final inspection
- Review the equipment in the home and turn over owner manual documents
- Maintain product knowledge and continuing education as it relates to the project management role
- Time management

ATTENDANCE REQUIREMENTS: Attendance on a regular, consistent basis is mandatory, including arriving at the time scheduled by your supervisor daily.
The Project Manager position is a salaried position based on 40 hours a week but hours can vary based on need of the project. Workday can start as early as 7:00am and end as late as
7:00pm with computer work, text or emails, in the evenings determined by the needs of the individual job requirements. Commitments to long hours of work when necessary to reach goals is imperative for success. This is balanced out by flexibility of schedule, when the job is on track there will be some shorter days to take advantage of and ultimately will be rewarded by the profit sharing program.
