Position: Office Manager

Location: Midtown Manhattan, NY

Salary : $80-120K(DOE)


General Position Summary

This position is responsible for human resources and general affairs. Previous related experience and business level English and Japanese skills are required.


Essential Job Functions

Human Resources including supporting expats

  • Management of payroll flow for expatriates and local staff, communication with vendors, accounting firms, and head office HR
  • New employee onboarding/exit process
  • Recruitment (resume screening, setting up interviews, orientation)
  • Time and attendance management, organization and filing of employment and work related documents.
  • Assistance in obtaining and renewing visas for expatriates
  • Assistance in obtaining social security numbers for newly transferred expatriates and their family members.
  • Assistance with various procedures for returning expatriates (termination of residence, closing of accounts, taxation, etc.)
  • New and renewal of health insurance
  • Annual procedures such as personal income tax returns for expatriates, and contact with accounting firms
  • Preparation and translation of documents for head office reporting, and preparation/updating of various internal documents
  • Projects for internal development, such as improving efficiency of HR operations/enhancing compliance aspects, etc.
  • Responding to inquiries from employees regarding benefits and liaising with head office HR
  • Invoice processing related to human resources


General Affairs

  • Preparing, storing, and managing materials for meetings.
  • Confirmation of contracts related to base operations, request for attorney confirmation, updating of contract ledgers
  • Support for voluntary inspections
  • Preparation and management of internal approval documents
  • Compliance-related rules and regulations maintenance and updating
  • Census and other government submissions
  • Insurance renewal procedures for various offices
  • Other spot support (office relocation, IT equipment changes, etc.)


Others

  • Supervise tasks of an accounting and administrative assistant.


Work Experience or other Requirements

  • Business level English and Japanese skills are required.
  • At least 5 years of previous work experience in human resources and general affairs.
  • Previous supervisory experience.
  • Excellent skill on the Microsoft Office
