As a Real Estate Administrative Assistant, you will be responsible for managing the administrative aspects of real estate transactions from contract to closing. You will work closely with agents, clients, lenders, and title companies to ensure all deadlines are met, documentation is accurate, and the transaction process is smooth and efficient.
Key Responsibilities:
- Serve as the main point of contact for all parties involved in real estate transactions, including agents, clients, lenders, and title companies.
- Manage transaction timelines to ensure all deadlines are met, including inspections, appraisals, and financing contingencies.
- Prepare and review transaction documents for accuracy and compliance with legal and company standards.
- Facilitate communication between parties to address questions, provide updates, and resolve issues promptly.
- Track and maintain transaction files, ensuring all required documentation is complete and properly stored.
- Coordinate with title companies, attorneys, and lenders to ensure timely closings.
- Assist in obtaining necessary signatures and ensuring compliance with local, state, and federal regulations.
- Support agents by preparing forms, contracts, and disclosures as needed.
- Provide post-closing assistance, including organizing and archiving completed transaction files.
Qualifications:
- Exceptional organizational and multitasking skills, with strong attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work in a fast-paced environment and meet deadlines.
- Proven experience in real estate, transaction coordination, or a related administrative role (preferred).
- Proficiency in real estate software, transaction management platforms, and office productivity tools.
- Knowledge of local real estate laws and regulations, contracts and processes is a plus.
