Description

We are looking for a detail-oriented Office Assistant / Receptionist to join our team on a contract basis in Oakbrook, Illinois. In this role, you will serve as the first point of contact for visitors and staff, ensuring a welcoming and organized environment. Your responsibilities will include administrative support, front desk management, and collaboration with various departments to address inquiries and maintain efficiency.

Responsibilities

  • Welcome visitors, residents, and staff with a friendly and attentive demeanor while managing front desk operations effectively.
  • Respond to inquiries, provide accurate information, and route concerns to the appropriate team members for resolution.
  • Perform various administrative tasks, including maintaining office supplies, data entry, filing, and scheduling appointments.
  • Draft and distribute correspondence, notices, and other communications promptly and accurately.
  • Ensure the reception area remains clean, organized, and inviting for visitors and staff.
  • Collaborate with other departments to address and resolve resident concerns in a timely manner.
  • Answer and manage inbound calls, directing them to the appropriate individuals or departments.
  • Support clerical duties such as document preparation, record-keeping, and general office organization.
  • Assist in monitoring inventory levels and placing orders for office supplies as needed.
  • Maintain an attentive and approachable presence, fostering positive interactions with diverse populations.


Requirements

  • High school diploma or equivalent is required; additional certifications in office management or customer service are advantageous.
  • Prior experience in a receptionist, administrative assistant, or customer-facing role is preferred.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook, is essential.
  • Strong communication and interpersonal skills with the ability to handle multiple tasks efficiently.
  • Exceptional attention to detail and problem-solving abilities.
  • A friendly, approachable, and patient demeanor with several years of experience demonstrating detail-oriented qualities.
  • Comfortable interacting with individuals from diverse backgrounds, including residents, staff, and vendors.
  • Ability to manage time effectively and work collaboratively with team members.
