Executive Assistant Job Overview
SGL Financial is a rapidly expanding, successful wealth management firm in Buffalo Grove, Illinois and is in search of an outgoing, friendly and highly-skilled Executive Assistant. This is a great opportunity for someone who is hoping to join a rapidly growing company and enjoys working with a driven team of professionals. The annual salary range for this role is $50-60k based on expierence.
As Executive Assistant, you will also work directly for the CEO, by managing his daily schedule, scheduling client meetings, and fulfill various clerical tasks and assignments. An ideal candidate has excellent communication and multi-tasking skills, high attention to detail, a positive attitude and a strong work ethic.

Job Responsibilities and Duties
- Provide excellent customer service in-person and over the phone
- Make out-bound phone calls to confirm or schedule client appointments, communicate updates to clients on items in process i.e. new business in process, client service requests
- Answer in-bound calls for owner, taking messages and reviewing voicemails regularly throughout the day
- Prepare items for client meetings by printing and prefilling client paperwork, prepare client kits, and account reviews
- Tracking status of paperwork and post meeting tasks to completion
- Entering client information into planning software
- Regular tracking of various items: appointments, prospective clients in process, pending business, client service requests
- General administrative tasks: manage calendar, scanning and organizing documents, entering notes in CRM, creating FedEx labels and shipping, preparing letters, package and ship out client kits, etc.
Qualifications and Skills
- Bachelor’s degree preferred, but high school diploma accepted with some college or equivalent experience
- 2 years experience as a Receptionist or Executive Assistant
- Exceptional customer service skills and professional phone manner
- Proficiency in Microsoft Excel and Word
- Ability to work in fast-paced environment and prioritize daily tasks
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
