About the position:
The Academic Administrative Assistant and Registrar provides administrative support to the Lower and Middle School Division Heads and acts as the Registrar for both divisions. The position requires a high level of professionalism, patience, and confidentiality as well as the ability to handle multiple tasks at once. This is a full-time, in-person, 12 month position.
Specific Responsibilities:
Academic Administrative Assistant
- Provide administrative support to both Division Heads including managing their calendars, scheduling meetings, and prioritizing daily tasks
- Order requested supplies for faculty school-wide, liaising with Accounts Payable regarding expense reimbursement requests and employee credit cards
- Provide support for grade or division level special events (parent coffees, curriculum nights, etc.)
- Work with Sub Coordinator to ensure sub coverage is secured for teachers; track and pay subs accurately bi-weekly
- Manage recruitment including candidate visits for Lower and Middle School Gradehead openings
- Create employee duty schedule for each school year
- Manage mid-year and year-end comments and grades collection from teachers
- Create classes, report cards, and manage gradebooks in Blackbaud
- Maintain academic files and respond to records requests
- Assist Director of Secondary School Counseling with application process and create mid-year and end of year transcripts for Grade 8 students
- Facilitate applying out process for non-Grade 8 students
