Secretary – Stockton Educational Center Transportation - North
At SEC Transportation – North the secretary is responsible for providing administrative support to ensure the smooth and efficient operation of the transportation program. This role involves managing communications, scheduling, record-keeping, and assisting the transportation team with various clerical tasks. The ideal candidate will be detail-oriented, organized, and capable of handling multiple tasks in a fast-paced, client-focused environment.
In this position you will:
- Answer phone calls, emails, and other communications related to transportation services, providing information or directing inquiries to appropriate staff
- Maintain and update client and employee records, ensuring accurate and timely data entry. Prepare and distribute schedules, memos, reports, and other documents as needed for the transportation program.
- Assist with the preparation of meeting agendas, taking minutes, and following up on action items.
- Organize and maintain transportation program files and documents in both physical and digital formats.
- Assist with the scheduling of transportation routes, appointments, and client pick-up/drop-off times, coordinating with drivers and other staff.
- Maintain accurate transportation logs, including records of scheduled rides, client information, and any special instructions.
- Assist in processing transportation-related paperwork, including time sheets, vehicle logs, and incident reports.
- Monitor and track vehicle maintenance schedules, ensuring that records are up-to-date and accessible.
- Assist with the preparation and submission of reports related to transportation service delivery, including mileage, fuel usage, and scheduling.
- Manage office supplies and equipment, ensuring that necessary materials are available and well-maintained.
- Ensure that all documentation and records comply with organization policies, legal requirements, and industry standards.
- Assist with maintaining the program’s compliance with transportation safety regulations and protocols.
Nice to haves :
- Experience with scheduling software or transportation management systems is a plus.
- Experience working in a transportation environment.
Must haves :
- High school diploma or equivalent (Associate’s degree or some college coursework preferred).
- Minimum of 2 years of administrative experience, preferably in a transportation or customer service setting.
- Ability to pass DOJ background clearance
- Ability to receive First Aid/CPR Certification in 60 days
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., fax, copier).
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong attention to detail, accuracy, and confidentiality when handling sensitive information.
Compensation :
- 18.00 -25.00 an hour dependent upon experience
