Provides logistical and administrative support to the Vendor Management team, ensuring clear and timely communication with vendors. The Vendor Coordinator’s role is vital for maintaining organized documentation and consistent follow-up—without involvement in contract or renewal processes.
Key Responsibilities
- Communication Support
Schedule and coordinate vendor meetings, share updates on process changes, and handle routine correspondence to keep vendors informed.
- Documentation & Tracking
Maintain detailed records of vendor interactions (e.g., performance notes, compliance checklists, issue logs), ensuring easy retrieval for audits or inquiries.
- Process Compliance
Distribute and reinforce County protocols, guidelines, and best practices to vendor contacts, clarifying expectations and deadlines.
- Operational Coordination
Liaise with internal teams to gather information, relay vendor requests, and ensure smooth handoffs for any required follow-up activities.

- Facilitates efficient and consistent communication, reducing misunderstandings or delays.
- Enhances accountability by systematically tracking tasks, deadlines, and vendor performance activities.
