Overview
We are seeking a highly organized and proactive Executive Assistant/Receptionist to provide comprehensive administrative support to our executive team. Responsibilities
- Provide executive administrative support to Partners, including scheduling meetings, managing calendars, coordinating travel arrangements, and preparing expense reports.
- Serve as the first point of contact for internal and external communications, demonstrating excellent phone etiquette.
- Edit and distribute quarterly operating reports and correspondences to investors.
- Mail monthly distributions to investors and handle investors' inquiries.
- Pick-up lunches for the Partners daily.
- Assist with proofreading documents and presentations to ensure accuracy and professionalism.
- Maintain organized filing systems for both physical and digital documents to facilitate easy access to information.
- Organize and plan events, including meetings, conferences, office luncheons, and Holiday parties.
- Oversee office management tasks, ensuring that supplies are stocked and the workspace is well-maintained.
- Answer and direct phone calls.
- Drop off, collect and sort all mail and packages.
- Handle front desk duties as needed, welcoming visitors and managing inquiries efficiently.
- Handle Ad-hoc assignments.
Skills
- 1 years of Executive Assistant/Receptionist experience, preferably in the Real Estate industry.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent phone etiquette for professional communication with clients and stakeholders.
- Proficiency in event planning to coordinate successful meetings and gatherings.
- Attention to detail in proofreading documents for clarity and correctness.
- Experience in office management practices, ensuring efficient operation of the workplace.
- Familiarity with filing systems for effective document management.
- Proven ability to provide executive administrative support in a dynamic environment.
- Collaborative, teammate who takes initiative.
- Proficient in Microsoft Suite – Outlook, Word, Excel, and PowerPoint.
