Overview
We are seeking a highly organized and proactive Executive Assistant/Receptionist to provide comprehensive administrative support to our executive team. The ideal candidate will be adept at managing multiple tasks, demonstrating exceptional communication skills, and maintaining a high level of professionalism. This role requires a detail-oriented individual who can thrive in a fast-paced environment while ensuring smooth office operations.

Responsibilities

  • Provide executive administrative support to Partners, including scheduling meetings, managing calendars, coordinating travel arrangements, and preparing expense reports.
  • Serve as the first point of contact for internal and external communications, demonstrating excellent phone etiquette.
  • Edit and distribute quarterly operating reports and correspondences to investors.
  • Mail monthly distributions to investors and handle investors' inquiries.
  • Pick-up lunches for the Partners daily.
  • Assist with proofreading documents and presentations to ensure accuracy and professionalism.
  • Maintain organized filing systems for both physical and digital documents to facilitate easy access to information.
  • Organize and plan events, including meetings, conferences, office luncheons, and Holiday parties.
  • Oversee office management tasks, ensuring that supplies are stocked and the workspace is well-maintained.
  • Answer and direct phone calls.
  • Drop off, collect and sort all mail and packages.
  • Handle front desk duties as needed, welcoming visitors and managing inquiries efficiently.
  • Handle Ad-hoc assignments.

Skills

  • 1 years of Executive Assistant/Receptionist experience, preferably in the Real Estate industry.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent phone etiquette for professional communication with clients and stakeholders.
  • Proficiency in event planning to coordinate successful meetings and gatherings.
  • Attention to detail in proofreading documents for clarity and correctness.
  • Experience in office management practices, ensuring efficient operation of the workplace.
  • Familiarity with filing systems for effective document management.
  • Proven ability to provide executive administrative support in a dynamic environment.
  • Collaborative, teammate who takes initiative.
  • Proficient in Microsoft Suite – Outlook, Word, Excel, and PowerPoint.
