Job Summary
We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team. This dynamic position requires strong ambassador skills, diplomacy, and discretion in addition to exceptional office technology skills and ability to support special events and projects. The Administrative Coordinator offers professional assistance to the Director of Individual and Planned Gifts and Donor Stewardship in their role as the leader of this program, and interfaces with the executive leadership of the Roswell Park Comprehensive Cancer Center, as well as major donors to the Center.
Responsibilities
- Serve as the primary point of contact for office inquiries, managing all aspects of the front office of the Individual Gifts Department.
- Assist with scheduling appointments and managing logistics of various types of meetings for team members.
- Coordinate stewardship and cultivation events, including preparation of mailings and all relevant logistics for both internal and external events.
- Organize, maintain, and update all donor recognition materials and installations, in conjunction with the Director.
- Complete daily office support which includes, but is not limited to, preparation and distribution of regular reports, maintenance of files, monitoring incoming and outgoing mail, supply inventory & ordering relevant to the Individual Gifts team.
- Navigate and update records in multiple databases, ensuring patient information is handled confidentially and accurately.
- Utilize computer software to manage documents, spreadsheets, and presentations effectively.
- Generate simple specialized queries in donor database and disseminate reports and/or coordinate with Development Data & Gift Processing team to create complex queries and reports.
- Prepare departmental mailings, including letter mail merges and/or other correspondence for Individual Gifts team.
- Coordinate with the Volunteer Department for services when appropriate.
- Schedule and coordinate Director's travel arrangements, periodically.
- Maintain budgeted expense tracking, including coordination of payment vouchers for expenses.
- Assist the Department with support as needed and as assigned by the Director
Qualifications
Candidates should possess a background that includes:
- Associate's degree in relevant field of study or three years of relevant experience .
- Proficiency in office technology with experience using office software such as Microsoft Office Suite or equivalent applications.
- Exemplary verbal and written communication skills.
- Sound professional judgement and ability to prioritize projects and resources.
- Ability to exhibit professional discretion and observe patient & departmental confidentiality.
- Capable of interacting with patients in active cancer treatment with compassion and kindness.
- Must work well in a fast-paced environment.
- Must maintain composure and objectivity under pressure.
- Ability to work occasional evening events.

Pay: $40,000.00 - $50,000.00 per year
